Dispatcher / Equipment Coordinator & Fleet Compliance Specialist Job Summary The Dispatcher / Equipment Coordinator & Fleet Compliance Specialist is responsible for coordinating personnel and equipment dispatch activities, managing equipment rentals, tracking equipment utilization, and ensuring fleet compliance with all applicable state and federal regulations. This position serves as the primary point of contact for equipment rental call-ins and call-offs, fleet documentation, inspections, maintenance scheduling, and regulatory compliance requirements. Key Responsibilities:
Dispatch & Equipment Coordination Receive, process, and prioritize customer requests for equipment rentals and services. Schedule and dispatch equipment, drivers, operators, and field personnel based on operational requirements. Coordinate equipment deliveries, pickups, transfers, and exchanges. Manage equipment rental call-ins, extensions, and call-offs, ensuring timely updates to schedules, inventory, and billing records. Monitor equipment availability, utilization, and location to maximize fleet efficiency. Maintain accurate records of equipment movements, rental agreements, dispatch activities, and customer communications. Communicate with customers regarding equipment availability, delivery schedules, rental status, and service concerns. Coordinate with operations, maintenance, and management teams to ensure equipment is operational and available when needed. Track equipment downtime and report maintenance needs promptly. Assist with inventory management and fleet utilization reporting. Fleet Compliance & Regulatory Management Maintain up-to-date records of equipment registrations, permits, licenses, inspections, and certifications. Monitor expiration dates and ensure timely renewal of all required registrations, permits, and compliance documentation. Work closely with fleet managers, mechanics, and vendors to schedule required inspections, preventive maintenance, and repairs. Maintain compliance files and documentation for company vehicles, trailers, and equipment. Serve as the primary point of contact for regulatory agencies regarding fleet compliance matters. Coordinate and prepare documentation for audits, inspections, and regulatory reviews. Stay current on applicable local, state, and federal transportation, fleet, and equipment regulations to ensure ongoing compliance. Identify compliance risks and recommend corrective actions to management. Assist in implementing and maintaining fleet compliance policies and procedures. Generate reports related to fleet compliance, equipment utilization, maintenance schedules, and regulatory requirements. Required Qualifications High school diploma or equivalent; associate degree or related certification preferred. Minimum of 2 years of experience in dispatching, fleet coordination, logistics, transportation, equipment rental, or compliance administration. Strong knowledge of fleet operations, equipment management, and regulatory compliance requirements. Excellent organizational, communication, and multitasking skills. Proficiency in Microsoft Office and fleet management, dispatch, or rental software systems. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Strong attention to detail and record-keeping abilities. Preferred Qualifications Experience in construction, transportation, utility, or heavy equipment industries. Familiarity with DOT regulations, vehicle registration requirements, and fleet compliance standards. Knowledge of preventive maintenance programs and fleet management systems. Experience preparing compliance documentation for audits and inspections. Strong problem-solving and customer service skills. Performance Expectations Ensure accurate and timely dispatching of personnel and equipment. Maintain complete and compliant fleet records, permits, registrations, and certifications. Process equipment rental call-ins and call-offs efficiently. Support maximum equipment utilization and operational efficiency. Ensure all inspections, maintenance, and regulatory requirements are completed on schedule. Provide exceptional customer service and maintain effective communication across all departments. Pay:
