Dispatch Coordinator

Overview Dispatch Operations Coordinator | TMS Support | Load Entry & Workflow Coordination SC Ballard LLC is seeking a highly organized, detail-oriented Dispatch Coordinator - Trucking Operations to support our trucking dispatch team and help manage daily load entry, dispatch updates, driver communication, and administrative workflow. This role functions as a Dispatch Operations Coordinator, supporting dispatchers, drivers, billing staff, and management by keeping load information accurate and up to date. The position is designed to provide administrative support, improve dispatch visibility, support accurate billing, and help ensure pickup and delivery information is properly captured. The ideal candidate is comfortable working in a fast-paced trucking environment, enjoys organizing information, and can help maintain accurate load, driver, customer, location, and paperwork details. Full-time preferred; part-time may be considered for the right candidate. Hours are Monday through Friday Duties Enter and update loads in Toro TMS. Assist with pre-staging loads for the next day, nights, weekends, and off-hours work. Assign or verify drivers, pickup locations, delivery locations, and load details. Monitor load status updates and assist with follow-up as needed. Review driver communication, Motive data, and dispatch notes to reconcile load activity. Help verify pickup and delivery times, including geofence-related timestamps. Assist with morning reconciliation of overnight and weekend loads. Support dispatchers with data entry so they can focus on live dispatching. Maintain accurate customer, location, and load information. Assist with billing preparation by ensuring required load details are complete. Track missing information and follow up with drivers, dispatchers, or office staff. Upload or organize documents, tickets, photos, and related load paperwork. Communicate professionally with drivers, office staff, customers, and vendors. Help identify workflow issues and suggest improvements as Toro TMS is implemented. Qualifications Highly organized and detail-oriented. Strong computer skills and ability to work with multiple systems Comfortable learning new software systems. Able to work calmly in a busy trucking environment. Good at following procedures and checklists. Strong with data entry and accuracy. Comfortable communicating with drivers and coworkers. Able to prioritize tasks and keep work moving. Willing to learn trucking dispatch and billing workflows. Dependable, proactive, and willing to ask questions when something is unclear. Preferred Experience Trucking, logistics, dispatch, or transportation experience preferred. Experience with TMS, dispatch software, GPS systems, or similar systems helpful. Administrative, billing, customer service, or operations support experience.
