Job Description
Join Grayson Towncar as a Luxury Transportation Dispatcher & Reservations Coordinator , where you will help manage daily transportation operations, customer reservations, driver communication, emails, phone calls, and scheduling. This role is an important part of our office team. You will help coordinate airport transfers, Disney and Universal resort transportation, Port Canaveral cruise transfers, and private rides throughout Central Florida. The ideal candidate is organized, detail-oriented, calm under pressure, and comfortable communicating professionally with both customers and chauffeurs. This position requires strong customer service skills, good judgment, and the ability to manage multiple reservations and schedule changes throughout the day. Training will be provided on our systems and procedures, but previous dispatch, reservations, transportation, hospitality, or scheduling experience is strongly preferred. Duties Answer incoming calls and assist customers with transportation questions, quotes, and reservations Respond to customer emails, texts, and reservation inquiries in a professional and timely manner Create, update, and confirm customer reservations Review reservation details for accuracy, including pickup time, pickup location, drop-off location, flight information, vehicle type, passenger count, luggage, car seats, and special requests Create and manage daily and weekly chauffeur schedules Assign trips to drivers based on timing, location, vehicle type, and availability Communicate clearly with chauffeurs regarding trip details, schedule updates, and customer needs Monitor same-day trips to ensure pickups and drop-offs run smoothly Track flight times, delays, early arrivals, and schedule changes Assist customers with airport pickup instructions, driver status, and day-of-trip questions Handle last-minute changes calmly and professionally Provide quotes and booking information to new and returning customers Help convert customer inquiries into confirmed reservations Maintain organized reservation notes and communication records Escalate urgent issues to management when needed Support general office and operations tasks as needed Qualifications Previous dispatching, reservations, scheduling, customer service, transportation, or hospitality experience preferred Experience in limo, black car, airport transportation, shuttle, taxi, NEMT, chauffeur service, or travel-related operations is a plus Strong written and verbal communication skills Professional phone etiquette and customer service mindset Comfortable handling customer calls, emails, and text messages Strong attention to detail and ability to catch mistakes before they become issues Able to multitask and stay organized in a fast-paced environment Calm, professional, and solution-focused under pressure Comfortable using computers, email, calendars, booking systems, spreadsheets, and scheduling tools Reliable, punctual, and responsible Able to work in person at our Orlando office Weekend, holiday, or high-demand travel period availability may be required Bilingual English/Spanish is a plus, but not required About the Role This is a great opportunity for someone who enjoys operations, customer service, and transportation coordination. Pay:
