We pride ourselves on delivering a high level of customer service, operational excellence, and professionalism throughout the entire customer experience — from the first appointment through project completion. We are looking for a highly organized and proactive Call-by-Call Manager / Dispatch Coordinator to support our sales team, improve appointment efficiency, and help drive operational consistency. Position Overview The Call-by-Call Manager / Dispatch Coordinator will work directly with the sales team and leadership to coordinate appointments, confirm customer meetings, manage lead dispositions, and ensure all sales activity is properly tracked and followed up on. This role is critical to keeping the sales process organized, improving customer communication, and maximizing lead conversion opportunities. The ideal candidate is detail-oriented, process-driven, and comfortable working in a fast-paced home services environment. Responsibilities Coordinate daily communication with roofing sales representatives regarding scheduled appointments and lead status Confirm appointments with homeowners prior to scheduled meetings Follow up with customers regarding reschedules, missed appointments, and next steps Track and disposition inbound and outbound leads within the CRM Ensure all sales appointments, notes, and outcomes are properly documented Work closely with management to monitor lead flow and appointment performance Assist in routing and scheduling adjustments as needed Identify stalled opportunities and help re-engage prospective customers Maintain communication between sales reps, office staff, and customers throughout the sales cycle Support reporting on appointment activity, lead status, and sales performance metrics Help maintain accountability and consistency across the sales process Qualifications Previous experience in dispatching, inside sales coordination, customer service, or call center operations preferred Experience in roofing, HVAC, home services, or construction industries is a plus Strong organizational and multitasking abilities Excellent phone and communication skills Comfortable working with CRMs and scheduling systems Ability to work in a fast-paced, team-oriented environment Detail-oriented with strong follow-through skills Proficient with Microsoft Office and Google Workspace Compensation & Benefits Competitive hourly pay based on experience Performance bonus opportunities Career growth opportunities within a growing organization Full-time position Supportive and team-oriented work environment
