Job Description
Work Environment This role operates primarily in a modern, brand-new office setting in Naperville, working closely with technicians and other operational teams. The schedule is Monday through Friday, from 7:00 a.m. to 3:30 p.m., supporting a steady and predictable daytime workweek. The office features a contemporary, pit-style layout that fosters collaboration on the floor. Employees have access to a coffee shop and convenience store on-site, as well as a comfortable kitchen area with a coffee machine for breaks. Job Description The Distpacher plays a key role in improving the customer experience by coordinating timely, accurate, and efficient appointment scheduling for in-home technician teams. This role focuses on calling customers to schedule appointments from newly created claims, confirming all necessary details, and assigning the right technician or contractor based on territory, skillset, availability, and service-level commitments. Responsibilities Create and manage appointments in Oracle, ensuring accurate entry of dates, times, and service details. Assign appointments to technicians based on territory, skillset, and availability to meet service-level agreements. Confirm and update customer service addresses, phone numbers, and other contact information during each call. Collect all necessary details about the issue or service request so technicians can successfully complete the appointment. Contact customers within one hour of claim creation to maintain a high level of service and meet internal SLAs. Assign work to third-party contractors when in-house technicians cannot meet the SLA or when the appointment falls outside the internal scope of work. Coordinate closely with technicians and other internal teams to ensure smooth handoffs and clear communication. Use Microsoft 365 tools, including Microsoft Teams and Microsoft Office, to communicate with leadership and colleagues and to manage daily tasks. Follow established processes and procedures while identifying opportunities to improve the appointment scheduling workflow. Prioritize tasks and claims effectively, focusing on the most critical appointments and deadlines. Adapt quickly to changes in schedules, customer needs, and operational priorities in a fast-paced environment. Document interactions and outcomes clearly and accurately to support performance tracking and continuous improvement. Collaborate with leadership to stay aligned with company-wide objectives and service standards. Apply strong problem-solving skills to resolve scheduling conflicts, customer concerns, and process challenges. Essential Skills 1-3 years of dispatch or scheduling experience, preferably in a fast-paced environment. Proficiency with Microsoft 365, including Microsoft Teams and Microsoft Office applications. Ability to handle inbound and outbound calls professionally and efficiently. Strong verbal and written communication skills, with the ability to convey information clearly and succinctly. Demonstrated ability to plan and organize work, including setting goals, developing schedules, and managing multiple tasks. Capability to prioritize effectively, focusing on critical tasks and eliminating roadblocks to achieve goals. Proven problem-solving skills, using logical and structured approaches to resolve issues and identify effective solutions. Ability to learn quickly when facing new problems, remain open to change, and adapt to unfamiliar tasks. Comfort working with established processes and procedures while maintaining attention to detail and accuracy. Job Type & Location This is a Permanent position based out of Naperville, IL. Pay and Benefits The pay range for this position is $22.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
