• Hold self and others to high levels of safety standards, ensuring all traffic, dock, and yard procedures are followed.

The Dispatcher is responsible for coordinating outbound shipments, managing schedules, preparing shipping documentation, and ensuring accurate and timely movement of goods. This role plays a key part in maintaining operational efficiency, preventing shipping errors, and supporting communication between warehouse teams, drivers, and leadership. Key Responsibilities Daily Operations & Scheduling

• Review packing lists, staging sheets, and shipment schedules at the start of shift
• Monitor email and dispatch system (Owlery) for new, updated, or rescheduled loads
• Confirm all preloads are completed prior to scheduled departures
• Create and maintain the daily shipping schedule
• Prepare next-day schedule and staging documentation by 2:00 PM daily
• Print and distribute packing lists for upcoming shifts Load Coordination & Verification
• Verify all loads prior to shipment to ensure accuracy against orders and staging
• Check for potential shortages or discrepancies before loading
• Re-check loads prior to shipment to prevent mis ships
• Ensure staging and loading teams are aligned with schedule and priorities Bill of Lading (BOL) Management
• Create BOLs in Owlery system (Orders → PO → BOL edit)
• Accurately enter and verify: o Carrier name o Trailer number & seal number o Appointment, arrival, and departure times o Pallet counts (GMA, CHEP, PECO)
• Print and distribute required copies to drivers
• Obtain required signatures (dispatcher and driver) Paperwork & Documentation
• Make and distribute shipping documents to drivers (minimum two copies)
• Scan and email all completed paperwork to Outbound Paperwork team
• Ensure correct email formatting (Customer + PO Number)
• Maintain accurate records of shipments and documentation Truck Check-In & Dispatch Control
• Check in drivers and assign loads as they arrive
• Monitor arrival times and adjust schedules as needed
• Reschedule late arrivals when required (e.g., 30+ minutes late during high-volume periods)
• Ensure timely dispatch of all outbound freight Shortage & Issue Management
• Identify and communicate product shortages immediately
• Notify leadership (e.g., inventory and traffic coordinators) of any discrepancies
• Send shortage reports, including: o Weekend shortage report by 5:00 PM on Fridays
• Follow escalation procedures to prevent shipment delays Filing & Recordkeeping
• Maintain organized daily paperwork files
• File all shipment documents by customer
• Complete weekly filing and documentation organization (Fridays) Continuous Monitoring
• Keep email system open and actively monitored throughout shift
• Refresh dispatch system regularly to track changes in real time
• Maintain communication with operations, drivers, and leadership

Qualifications:

• High School Diploma or equivalent.
• Must have 2 years continuous employment with one employer.
• Prefer previous warehouse, logistics, distribution, or transportation experience.
• Strong communication skills with the ability to interact professionally with drivers and internal teams.
• Ability to prioritize tasks and make sound decisions in a fast-paced environment.
• Ability to communicate, apply, understand, and carry out instructions furnished in written, oral, or diagram form.
• Ability to work in a physically demanding environment with exposure to temperature extremes, loud noise, and industrial hazards.
• Engage in walking, standing, bending, and climbing for an entire 12-hour shift.
• Lift 40 lbs. frequently, 40-50 lbs. occasionally, and over 50 lbs. minimally (team lifting required).
• Wear and comply with all required PPE (eye and ear protection, steel-toed shoes, face masks).
• Work a 12-hour rotating shift schedule and overtime as required.
