Job Description
Job Summary We are seeking a proactive and organized Office Administrator and Dispatcher to join our dynamic team. In this vital role, you will oversee daily administrative operations while efficiently coordinating transportation activities. Your energetic approach will ensure smooth communication between departments, drivers, and clients, supporting our commitment to exceptional logistics and supply chain management. This position offers an exciting opportunity to contribute to a fast-paced environment where your analysis skills and attention to detail will drive operational success. Responsibilities Manage incoming calls using multi-line phone systems with professionalism and courtesy, ensuring clear communication and prompt responses. Coordinate dispatching of freight and transportation requests using transportation management systems such as Oracle Transportation Management and SyteLine. Schedule and track shipments, deliveries, and pickups utilizing GPS technology, GIS data, and transportation planning tools to optimize routes and improve efficiency. Maintain accurate data entry for shipping & receiving records, fleet management logs, and supply chain documentation in AS400 and other enterprise systems. Support shipping & receiving operations by preparing documentation, verifying freight details, and ensuring compliance with safety standards. Assist in logistics planning by analyzing transportation data, identifying bottlenecks, and proposing solutions to enhance overall supply chain performance. Collaborate with 3PL providers (third-party logistics) to coordinate freight movement, monitor delivery status, and resolve issues promptly. Requirements Proven experience with transportation management systems such as Oracle Transportation Management or similar platforms. Strong analysis skills with the ability to interpret GIS data, GPS tracking information, and logistics reports. Excellent communication skills paired with professional phone etiquette for interacting with drivers, clients, and internal teams. Proficiency in data entry, typing accuracy, and managing multi-line phone systems efficiently. Knowledge of freight operations including shipping & receiving procedures, fleet management, and dispatching processes. Familiarity with supply chain concepts such as transportation planning, logistics coordination, and 3PL partnerships.
