We partner with facility management companies and large clients to deliver reliable service through a nationwide vendor network. We are currently in a growth phase, building the systems, structure, and team needed to scale, making this an exciting opportunity to join early and grow with the company. About the Role We are looking for a highly organized and proactive Dispatch Coordinator & Operations Support to support daily operations by managing job assignments, coordinating technicians, and ensuring smooth execution from start to finish. This role is critical in maintaining visibility, communication, and follow-through across all active jobs. What You'll Do Dispatch & Coordination Assign technicians based on availability, skillset, and location Schedule and confirm appointments Follow up to ensure technicians are on-site and jobs are progressing Utilize internal tools (including AI-based tools) to standardize communication and improve workflow efficiency Client Communication Provide updates on job status (scheduled, in progress, completed) Communicate delays or issues proactively Contact clients for approvals (e.g., scope changes, NTE increases) Job Tracking & Reporting Maintain accurate updates in internal trackers Ensure all jobs have clear status, notes, and next steps Review technician reports for completeness and clarity Job Documentation for Billing Capture key job details (materials, scope changes, approvals) Ensure all relevant information is recorded for invoicing Issue Resolution Identify delays, or issues early Escalate when needed and propose solutions What We're Looking For Strong organizational skills and attention to detail Ability to multitask and manage multiple jobs at once Clear and professional communication skills Proactive mindset and strong follow-through Comfortable working with spreadsheets and systems Tech-savvy with an interest in using tools (including AI) to improve processes, communication, and efficiency What Success Looks Like Jobs are assigned quickly and accurately Clients are consistently updated All jobs are tracked with clear visibility No tasks fall through the cracks Why Join Us Opportunity to grow within a fast-paced operations environment Be part of building structured systems and processes Clear ownership and responsibility
