Dispatch Admin/Biller

Job Summary We are seeking a proactive and detail-oriented Dispatch Admin/Biller to join our dynamic logistics team. In this role, you will be responsible for coordinating transportation activities, managing freight billing, and ensuring seamless communication across various departments. Your expertise in transportation management systems and data entry will help optimize our supply chain operations, improve dispatch efficiency, and support fleet management. Responsibilities Coordinate dispatching activities using transportation management systems such as Oracle Transportation Management and SyteLine to assign loads, track shipments, and monitor delivery schedules. Process freight bills accurately by reviewing shipping documentation, entering data into AS400 and other relevant systems, and verifying billing details against shipment records. Communicate effectively with drivers, carriers, warehouse staff, and customers via multi-line phone systems while maintaining professional phone etiquette. Utilize GPS and GIS tools for route planning, transportation analysis, and optimizing delivery routes to improve efficiency. Manage shipping & receiving documentation, ensuring compliance with logistics procedures and maintaining detailed records of all transactions. Support fleet management by tracking vehicle locations through GPS data, scheduling maintenance, and updating transportation logs. Assist in analyzing transportation data to identify opportunities for process improvements within the supply chain and logistics operations. Experience Proven experience in dispatching within a logistics or transportation environment preferred. Familiarity with transportation management systems such as Oracle Transportation Management or similar platforms is highly desirable. Strong knowledge of freight billing processes, shipping & receiving procedures, and supply chain fundamentals. Excellent communication skills with the ability to handle multi-line phone systems professionally and courteously. Demonstrated proficiency in data entry, typing accuracy, and managing multiple tasks efficiently under pressure. Experience working with GPS technology, GIS mapping tools, and transportation planning software is a plus. Knowledge of 3PL (third-party logistics), fleet management practices, and shipping regulations will enhance your success in this role.
