As we continue to grow, we're seeking an organized, customer-focused Dispatch & Office Manager to oversee daily scheduling, customer communication, and office operations. Position Summary The Dispatch & Office Manager is responsible for coordinating daily moving operations, managing schedules for crews and trucks, handling customer communications, and ensuring efficient office administration. This role serves as the central hub between customers, movers, drivers, and management to ensure every move is completed smoothly, safely, and on time. Key Responsibilities - Dispatch & Scheduling Schedule and dispatch moving crews and trucks for daily jobs. Coordinate routes and crew assignments to maximize efficiency. Monitor job progress and adjust schedules as needed. Communicate job details, updates, and expectations to field teams. Handle last-minute scheduling changes and operational challenges. Customer Service Answer incoming calls, emails, and online inquiries. Provide move estimates and assist customers with booking services. Confirm upcoming appointments and communicate arrival times. Address customer concerns and resolve service issues professionally. Maintain a high level of customer satisfaction throughout the moving process. Office Administration Maintain customer records, schedules, and job documentation. Process invoices, payments, and basic bookkeeping tasks. Manage office supplies and administrative needs. Prepare reports related to scheduling, revenue, and operations. Support recruiting, onboarding, and employee record management as needed. Team Coordination Serve as the primary communication link between office staff and moving crews. Assist with training and onboarding new employees. Promote a positive, professional team culture. Support management in achieving operational and customer service goals. Qualifications Previous dispatching, logistics, moving industry, transportation, or office management experience preferred. Strong organizational and multitasking skills. Excellent verbal and written communication abilities. Proficiency with Microsoft Office, Google Workspace, and scheduling software. Ability to remain calm and make decisions in a fast-paced environment. Strong customer service and problem-solving skills. Reliable transportation and dependable attendance. Preferred Qualifications Experience in the moving, transportation, or logistics industry. Familiarity with CRM, dispatch, or scheduling software. Basic bookkeeping or QuickBooks experience.
