8 to 4 PM EST 4 to 12 AM EST Position Summary We are looking for an experienced Reservations & Dispatch Specialist to be the operational heartbeat of our chauffeured transportation service. This person is the first voice clients hear and the steady hand that keeps every ride on track — from the first quote to the final drop-off. This is not an entry-level seat. We're looking for someone who already knows the limo/ground transportation industry, has worked in LimoAnywhere (or other ground transportation software) , and knows Boston cold — its neighborhoods, airports, traffic patterns, hotels, and venues. You'll be juggling live phone calls, real-time dispatch, flight tracking, affiliate coordination, and proposals, often all at once. The right person thrives on that pace. Key Responsibilities Reservations, Intake & Quoting Answer incoming calls promptly and professionally; capture trip details accurately the first time. Enter and manage reservations in LimoAnywhere . Quote clients quickly and accurately based on vehicle type, distance, timing, and service level. Follow up with clients on open quotes, pending bookings, and post-trip touchpoints to win and retain business. Dispatch & Live Operations Dispatch chauffeurs and monitor active trips in real time. Track flights and adjust pickups for delays, early arrivals, and gate changes. Know where every driver is and proactively manage timing, traffic, and conflicts. Coordinate with affiliates and farm-in/farm-out partners — placing calls, confirming details, and ensuring smooth handoffs. Proposals & Account Support Build clean, professional proposals for RFPs, corporate accounts, group transportation, and special events. Tailor pricing and service packages to client needs. Support the sales/account process from first inquiry through booked event. Required Qualifications Hands-on experience in the limo / chauffeured / ground transportation industry (non-negotiable). Proficiency with LimoAnywhere — you've used it in a live operational setting. Strong familiarity with the Greater Boston area — airports (Logan), highways, neighborhoods, hotels, and event venues. Tech-savvy — comfortable moving quickly between dispatch software, flight trackers, email, and phone systems; quick to learn new tools. Excellent phone presence and written communication. Strong attention to detail and ability to multitask under pressure without dropping the ball. Reliable, calm, and solution-oriented — especially when plans change last minute. Preferred Qualifications Prior dispatch experience. Experience writing proposals or quotes for RFPs, weddings, or corporate accounts . Familiarity with affiliate networks and farm-in/farm-out coordination. Experience with flight-tracking tools and GPS/AVL systems. Pay:
