About Us We are a small, family-owned HVAC company looking for a dependable, sharp, and friendly person to join our office team as a Customer Care & HVAC Dispatch Coordinator . This is a phone-based office position where you'll be helping customers schedule service, communicate with technicians, and keep the day running smoothly. Position Summary The Customer Care & HVAC Dispatch Coordinator is responsible for answering incoming calls, scheduling service appointments, dispatching technicians, communicating with customers, and helping maintain a smooth daily workflow for the service department. This person will often be the first voice our customers hear, so professionalism, patience, and clear communication are extremely important. Responsibilities Answer incoming customer calls in a friendly and professional manner. Schedule HVAC service calls, maintenance appointments, estimates, and follow-ups. Dispatch technicians efficiently based on location, urgency, skill set, and schedule availability. Communicate clearly with customers regarding arrival windows, updates, delays, and appointment details. Enter and update customer information, service notes, and job details accurately. Help prioritize urgent calls while keeping the schedule organized. Coordinate with technicians throughout the day to keep jobs moving smoothly. Follow up with customers when needed. Assist with basic office tasks, filing, data entry, and customer account updates. Maintain a calm and helpful attitude, even during busy or stressful moments. Experience with service software, CRM systems, or scheduling platforms. Basic understanding of geography/local service areas.
