HVAC Dispatcher

In this vital role, you'll coordinate service calls, manage dispatch operations, and ensure timely communication between technicians, clients, and suppliers. Responsibilities Coordinate and schedule HVAC service appointments, repairs, and maintenance with technicians and clients using transportation management systems. Utilize GIS (Geographic Information Systems) and GPS technology to optimize routing and dispatching routes for field technicians. Manage inbound and outbound freight shipments related to HVAC parts and equipment, ensuring accurate data entry into systems like Oracle Transportation Management and SyteLine. Communicate effectively with team members via multi-line phone systems, demonstrating excellent phone etiquette and professional communication skills. Monitor fleet management data to track technician locations, vehicle status, and delivery schedules for efficient transportation planning. Maintain detailed records of dispatch activities, shipping & receiving logs, and service reports with precision. Collaborate with supply chain teams to ensure timely delivery of parts and equipment while managing logistics in a fast-paced environment. Qualifications Proven experience in dispatching within a logistics or transportation environment; familiarity with HVAC industry operations is a plus. Strong analysis skills with the ability to interpret data from transportation management systems like Oracle Transportation Management or AS400. Proficiency in using GIS, GPS, SyteLine, and other transportation planning tools to enhance routing efficiency. Excellent communication skills coupled with professional phone etiquette for effective stakeholder engagement. Ability to handle multiple tasks simultaneously using multi-line phone systems and data entry tools accurately under pressure. Knowledge of freight shipping & receiving processes along with fleet management principles. Familiarity with logistics software such as Transportation Management Systems (TMS), 3PL (third-party logistics), shipping & receiving protocols, and warehouse management systems.
