Dispatcher Granbury Executive Transport, LLC (G.E.T.) Position Summary The Dispatcher is responsible for coordinating daily transportation operations, ensuring accurate reservation entry, effective communication with chauffeurs and clients, and maintaining the highest level of customer service. This position plays a critical role in delivering the luxury experience our clients expect while ensuring operational efficiency and accuracy. The Dispatcher serves as the primary communication link between clients, chauffeurs, and management and is responsible for ensuring all reservations are entered accurately, assigned appropriately, and monitored from pickup through completion. Essential Duties and Responsibilities Reservation Management Receive and process all reservation requests. Complete a Dispatch Intake Form for every reservation without exception. Verify all client information, pickup and drop-off locations, flight information, vehicle requests, and special instructions. Enter reservations accurately into company software systems. Review all reservations for completeness and accuracy before confirmation. Dispatch Operations Assign reservations to chauffeurs based on vehicle type, availability, and service requirements. Monitor active trips and chauffeur locations throughout the day. Communicate schedule changes, delays, and updates to chauffeurs and clients. Coordinate coverage for last-minute reservations or service disruptions. Ensure chauffeurs have all necessary trip information prior to service. Customer Service Answer incoming calls, emails, and text messages professionally and promptly. Provide clients with reservation confirmations and updates. Resolve customer concerns and service issues professionally. Maintain a positive and courteous attitude during all client interactions. Administrative Responsibilities Maintain accurate records of reservations and dispatch activity. Assist with billing verification and trip reconciliation when necessary. Document service issues, complaints, incidents, and operational concerns. Prepare daily operational reports as requested by management. Compliance and Quality Assurance Follow all company policies and procedures. Ensure dispatch procedures are followed consistently. Verify that all reservations meet company service standards. Protect confidential client information at all times. Assist in maintaining company compliance with applicable transportation regulations. Required Qualifications High school diploma or equivalent. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Ability to work in a fast-paced environment. Strong attention to detail and accuracy. Proficient with computers, email, scheduling software, and Microsoft Office. Ability to remain calm and professional during stressful situations. Preferred Qualifications Previous dispatch, transportation, logistics, hospitality, or customer service experience. Experience with chauffeur; limousine, NEMT, or transportation management software. Knowledge of the Dallas-Fort Worth Metroplex and surrounding areas. Performance Expectations Dispatchers are expected to: Complete a Dispatch Intake Form for every reservation. Maintain reservation accuracy at all times. Ensure timely communication with chauffeurs and clients. Demonstrate professionalism and accountability. Follow company procedures without exception. Contribute to a positive team environment. Accountability Reservation accuracy is a critical function of this position. Failure to follow dispatch procedures, repeated reservation errors, missed rides, or failure to complete required documentation may result in disciplinary action, up to and including termination of employment. Work Schedule Hours and schedule may vary based on operational needs and business demands. Evening, weekend, and holiday availability may be required. Reporting Structure Reports directly to the Operations Manager; General Manager; or designated member of executive leadership.
