About Us We are a family-owned HVAC/Plumbing mechanical contractor looking for a dependable, sharp, and friendly person to join our office team as a HVAC/Plumbing Service Dispatcher. Position Summary This is a phone-based office position where you'll be helping customers schedule service, communicate with technicians, assist with service and maintenance proposals, assist with equipment, part and material acquisition, and keep the day running smoothly. Our office environment is relaxed and casual, but we take our work seriously. We expect excellence, good communication, and follow-through. We're looking for someone who can stay organized, keep a good attitude, and represent our company well with every customer interaction. This person will often be the first voice our customers hear, so professionalism, patience, and clear communication are extremely important. Responsibilities Answer incoming customer calls in a friendly and professional manner. Schedule HVAC and plumbing service calls, maintenance appointments, estimates, and follow-ups. Dispatch technicians efficiently based on location, urgency, skill set, and schedule availability. Communicate clearly with customers regarding arrival windows, updates, delays, and appointment details. Enter and update customer information, service notes, and job details accurately. Help prioritize urgent calls while keeping the schedule organized. Coordinate with technicians throughout the day to keep jobs moving smoothly. Follow up with customers when needed. Assist with basic office tasks, filing, data entry, and customer account updates. Assist with procuring equipment, parts and materials for quoted jobs and maintenance contracts. Assist with estimating and sending out proposals to customers in a timely manner. Maintain a calm and helpful attitude, even during busy or stressful moments. Represent the company with honesty, professionalism, and care. Skills Excellent phone communication skills. Strong customer service mindset. Ability to multitask without losing attention to detail. Good computer and typing skills. Comfortable learning scheduling or dispatch software. Organized and dependable. Able to stay calm under pressure. Friendly, professional, and patient. Good problem-solving skills. Ability to communicate well with both customers and technicians. Punctual and consistent. Willingness to learn the HVAC and Plumbing industry. Positive attitude and team-first mindset. Preferred Experience Previous customer service experience. Previous dispatching or scheduling experience. Experience in HVAC, plumbing, electrical, construction, home services, or another service-based business. Experience answering phones in a busy office. Experience with service dispatch software, Microsoft Office (Word, Excel, Outlook) and scheduling platforms.
