Job Title:
Dispatch Coordinator Job Description The Dispatch Coordinator oversees day-to-day coordination and scheduling of work for internal teams and subcontractors. This role manages dispatch activities using office software tools, documents work in CRM and ERP systems, and communicates frequently with customers and field crews. The position requires strong customer service, excellent communication, and the ability to work extended weekday hours in an office-based environment. Responsibilities Coordinate daily work activities with vendors, subcontractors, internal crews, and external crews to ensure timely completion of assignments. Schedule and prioritize jobs for in-house teams and subcontractors, adjusting plans as needed based on changing requirements. Use spreadsheet tools such as Excel to track schedules, work status, and dispatch details accurately. Document all work activities, customer interactions, and job updates in Salesforce and, once in a full-time capacity, in SAP. Communicate with customers frequently, including daily phone calls, to provide updates, confirm appointments, and address questions or concerns. Collaborate with internal stakeholders to ensure all necessary information is available for crews before dispatch. Perform accurate data entry to maintain up-to-date records of jobs, schedules, and customer information. Leverage Microsoft Office and other office software to prepare and maintain dispatch-related documentation. Work extended hours Monday through Friday to support high-volume dispatch operations and meet service expectations. Maintain a professional and courteous demeanor in all customer and vendor interactions, representing the organization positively. Essential Skills Proven customer service experience with frequent direct interaction with customers by phone. Strong verbal communication skills, including the ability to speak clearly, professionally, and confidently with customers and team members. Strong computer literacy, including proficiency with Microsoft Office and the ability to navigate multiple software systems. Ability to perform basic Excel tasks, such as data entry, sorting, and updating spreadsheets. Experience with dispatch or dispatching activities in a fast-paced environment. High level of accuracy and attention to detail in data entry and documentation. Willingness and ability to work 10-11 hour days, Monday through Friday. Strong organizational and time management skills to handle multiple tasks and changing priorities. Additional Skills & Qualifications Experience using Salesforce or similar customer relationship management (CRM) systems. Exposure to SAP or other enterprise resource planning (ERP) software. Comfort working in a structured office environment with high call volume. Ability to build positive working relationships with vendors, subcontractors, and internal teams. Work Environment This role is fully on-site in an office environment in Pflugerville. The standard schedule runs Monday through Friday from approximately 7:00 a.m. to 5:00 p.m., with the expectation of working 10-11 hour days to support operational needs. You will work primarily at a desk using computers and office equipment, with frequent phone-based communication. Daily tools include Microsoft Office (with a focus on Excel), Salesforce for documenting work, and SAP once in a full-time capacity. The setting is structured and fast-paced, with a focus on responsiveness, accuracy, and professional communication. Job Type & Location This is a Contract to Hire position based out of Pflugerville, TX. Pay and Benefits The pay range for this position is $38.00 - $40.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
