POSITION SUMMARY
The Facility Director will be responsible for the overall operations, development, and success of the practice. In this important role, Facility Director will act as an information resource and ambassador to patients, the public, Physicians and staff.
PRIMARY DUTIES AND RESPONSIBILITIES
- Supervise patient experience, greeting visitors, ascertain purpose of visit, and direct them to appropriate staff.
- Direct scheduling of patients and manage scheduling of staff
- Oversee all new referral calls/ establish care, maintain referral log for outpatient client's insurance: prior authorization, miscellaneous insurance call for denials/ billing issues for DTMS and other treatments as required.
- Regulate intake: complete documents, case histories, or forms, such as intake or insurance forms.
- Administer all aspects of payment from patients, verification of receivables, deposits, billing and posting payments
- Handle medical record requests as needed
- Complete database entry: provider billable report to administration and analyze trends in clinical data (i.e. wait list length, arrival rates, CPT code utilization, referral patterns, TMS conversion rates, etc.) The list is not exhaustive, and data analysis may include less/more as deemed appropriate by management.
- Systematically review productivity and adjust as needed, monitor incomplete notes and billing: report to providers each week.
- Monitor CAQH licensure requirements for staff and assist with credentialing as needed.
- Track and manage staff time off requests
- Execute annual performance reviews as needed
- Recommend and assist with hiring to include interview and training new staff in accordance with HR guidelines
- Serve as the communication liaison between the Corporate Office and Katie's Way | Katie's Way Plus
- Ensure Corporate Compliance expectations, standard operating procedures are met
- Ensure a safe and therapeutic environment for staff and for patients
- Schedule consistent staff meetings, ensure proper training for administration staff at designated facility as needed
- Assign duties as necessary to staff with proper training of delegated tasks to staff
MINIMUM REQUIREMENTS
- Associate degree or Higher Education.
- Basic Life Support Certification-Preferred.
- Strong Leadership skills, management preferably in the healthcare field, organizational, time management and communication skills that display empathy, and the ability to effectively engage with individuals from diverse backgrounds
- Previous experience working with military personnel, veterans, or military healthcare systems highly desirable.
- Strong understanding of military culture, healthcare benefits, and support services available to military families.
- Proven track record of building and maintaining relationships with military stakeholders, including military leaders, healthcare providers, and community organizations.
- Ability to work independently and collaboratively in a fast-paced, dynamic environment, with a high degree of adaptability and resilience. Proficiency in Microsoft Office Suite and CRM software.
- Valid driver's license and willingness to travel locally and occasionally regionally as needed.
