Director of Facilities Reports to: Chief Financial and Operating Officer (CFOO) Full-time, 12-month position, Exempt The Director of Facilities is a leader who oversees the care, maintenance, and daily operations of the 15-acre campus housing All Saints' Episcopal Day School. In partnership with the CFOO and Head of School, the Director of Facilities will serve as a leader in our community, managing the Facilities team and ensuring a safe, efficient, and well-maintained campus environment. The role covers the Day School campus, including the 55,000 sq ft Milisci Academic Building, the Shaver Learning Commons, and the Ewing/York Athletic Complex. The Director serves as the campus point person for off-hours emergencies and supports campus-wide emergencies, such as fire or flood, alongside the church team. This is a hands-on role. The Director performs general repairs directly, leads the Facilities team, and manages vendor relationships as appropriate. They have experience in facility operations and/or management. They must understand the property's technical aspects, have broad knowledge of facilities and maintenance functions, and have proven project management experience. Ideally, they also have experience with grounds and landscaping. The ideal candidate will serve as a positive leader and team player who enjoys working with a team, being around children, and being part of a passionate community. They must exhibit strong leadership and communication skills, as well as excellent organizational skills. They must be able to manage and balance competing tasks, priorities and deadlines, and complete projects on time and within budget while maintaining the School's commitment to quality facilities.
Position Responsibilities:
Building and Landscaping Responsibilities Oversee the facilities system and keep the buildings and grounds to a high standard. Evaluate maintenance needs, assign tasks, and coordinate priorities with the CFOO, Head of School, and admin team. Assist in establishing a preventive maintenance program on all working systems with the CFOO. Perform repairs and upgrades to building surfaces, including ceilings, walls, floors, and doors. Repair drains, toilets, urinals, showers, and all plumbing-related equipment, including kitchen-related repairs. Monitor and adjust
HVAC, BRIVO
access control, and other systems through the building management system; identify and correct problems. Manage landscaping and grounds, including priorities, upgrades, and vendor work. Management, Safety, and Collaboration Be responsible for the overall safe, efficient operation, function, and maintenance of the entire campus. Operate all building systems, including mechanical, electrical, HVAC, plumbing, life safety, fire suppression, and access control, with support from the CFOO. Supervise the facilities department, plus custodial, landscaping, and other vendors. Provide regular evaluation and performance feedback, and ensure tasks are completed. Manage the facilities calendar, facilities work, and events in collaboration with the Head of Advancement and the CFOO. Perform set-ups or deploy the team for set-ups (Harvest Fair, auction, open houses, weddings, funerals, and similar). Coordinate with and support the Operations team as needed. Serve as the facilities point person for off-hours emergencies, and serve on the Emergency Response Team for on- and off-hours events with the Head of School and CFOO. Support campus-wide emergencies (fire, flood, etc) with a team from the Church and School. Manage health and safety licenses and requirements. Coordinate building code compliance and approvals from governmental, regulatory, and accrediting agencies, with CFOO support. Work with local agencies to ensure high standards of health, sanitation, and safety are maintained throughout all of the facilities. Manage vendor relationships, requests, and budget allocations with CFOO support; oversee agreements and inspect completed work. Prepare and maintain the annual facilities budget with the CFOO. Manage related financial tasks such as submitting payroll and tracking overtime. Maintain records and inventory of supplies, materials, and vendor work orders; order as needed. Review and revise service contracts with the CFOO to keep campus support integrated and efficient. Ensure all equipment is maintained and repaired as needed. Create and manage a system to coordinate effective responses to all facility requests. Community Serve as a leader and ambassador at All Saints' Episcopal Day School and Church. Maintain the highest level of professional care and concern for the community. Build positive relationships with students, faculty, staff, parents, parishioners, and visitors. Work collaboratively to advance the School's mission, solve problems, and plan for future campus needs. Support the facilities team in setting and meeting high standards. Desired Qualifications 5+ years in facilities operations, maintenance, or the building trades, including hands-on repair experience Working knowledge of building systems: HVAC, plumbing, electrical, life safety and fire suppression, and access control such as BRIVO or a similar building management system Ability to personally evaluate and perform general repairs across these systems Ability to manage an online facility request (ticketing) system Supervisory experience leading a team and managing vendors Ability to manage a facilities budget Strong communication and organizational skills, with the ability to balance competing priorities and deadlines Great with adults and children, and enjoys being in an active work environment with a tight-knit community Preferred Qualifications Bachelor's degree, or equivalent trade experience and certification Experience managing grounds and landscaping A relevant trade license or certification in HVAC, electrical, or plumbing Physical Requirements and Work Environment Able to lift and carry up to 50 lbs., climb ladders, kneel, and stand for extended periods Frequent hands-on repair work, both indoors and outdoors in varying weather On-call for off-hours facility emergencies, with the ability to respond to urgent campus needs Application Process and Materials With approximately 100 full-time faculty and staff serving 550 students, our campus is buzzing with activity.
