Job Description
Facilities Coordinator Position Type:
Full-Time M-F Summary/Objective The Facilities Coordinator will be responsible for overseeing Facilities programs in a fast-paced, dynamic environment. The Facilities Coordinator is also responsible for performing tasks relating to maintenance of company facilities. This position will work closely with all levels of Facilities and clients to ensure services delivered meet expectations. Essential Functions 1. Work in cross-functional teams to create services that support Client's business needs and client expectations. 2. Coordinate day-to-day repairs as needed. 3. Conference room support, meeting and events support. 4. Manage internal SLA's and SOW's to ensure Facilities Services are consistent with requirements. 5. Report on key operational performance standards and determine whether services are being delivered at or near optimum levels. 6. Develop efficient processes, as part of an overall Facilities strategy, to achieve optimum standards; recommend process and technological enhancements to improve service and efficiencies. 7. Manages multiple projects and meet critical deadlines across functions and departments. 8. Detect and report defective materials or questionable conditions to the department supervisor. 9. Maintain the work area and equipment in a clean and orderly condition and follow prescribed safety regulations. 10. Receive work orders for corrective repair work on a variety of building physical structures, equipment, and system components. Assist with all aspects of Work Order and Asset Management process (CMMS) 11. Assist with Purchase Order processing and management. 12. Order the necessary materials to complete all necessary repairs. Finalize work orders by completing necessary paperwork. 13. Participate in moving and/or installing furniture for office relocations. 14. Receiving and distributing incoming packages and mail, shipping outgoing packages and mail. 15. Acting as liaison between event owner and all internal departments in order to support events on campus. 16. Responsible for onsite event coordination the day of each event; receiving catering, scheduling necessary janitorial, security, etc… 17. Other duties may be assigned. 18. Coordination of all required preventive and recurring services from occupant request to completion, updating maintenance and compliance records. 19. Where services are managed or is the responsibility of landlord or property manager, the FC will assume responsibility for communication and coordination to accomplish service/resolution working through the respective entity. 20. Monitoring and facilitating of all work requests to include necessary notifications to occupants, landlords, and vendors. Follow up and close out of requests. 21. Respond expediently to all equipment, systems, or business critical failures that could impact client productivity, safety, comfort. 22. Provide routine reporting of all identified measurables and KPI's, to include weekly comprehensive rollup of all agreed upon measurables and other pertinent information to designated Clietn partner and or Flagship IFM Account Manager Knowledge and Skills 1. Demonstrated strong performance in prior roles, with increasing levels of responsibility and independence. 2. Related experience in Facilities Services or a vendor management role. 3. Team player with flexibility, high energy, and a sense of humor. 4. Ability to execute successfully in a fast-paced, constantly evolving environment. 5. Strong analytical skills and ability to think strategically. 6. Experience with Asset Management software and process (CMMS) 7. Problem solving and analytical skills combined with strong business judgment. 8. Proficient with budget preparation and financial analysis of projects. 9. Ability to read and interpret documents such as safety roles, operating and maintenance instructions, and procedure manuals. 10. Write routine reports and correspondence. 11. Speak effectively before groups of customers or employees of the organization. 12. Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.Job Type:
