Job Description

Our client, the U.S.'s largest commercial real estate services firm, is seeking a Facilities Associate to support a busy corporate environment in San Mateo, CA . This 2-month contract role is ideal for an organized, adaptable professional who thrives in a fast-paced environment supporting facilities, helpdesk, and administrative operations. You'll partner closely with the Facilities Manager and engineering team to manage work orders, coordinate meetings, support mail services, and ensure smooth day-to-day office operations. Monday-Friday, 8:00 AM-5:00 PM | $20-$21/hr | Health benefits included.
Day-to-Day Responsibilities:
Serve as a primary point of contact for the facilities helpdesk, responding to and routing service requests appropriately Manage and coordinate multiple work orders and service tickets simultaneously while ensuring timely follow-up and resolution Utilize the Computerized Maintenance Management System (CMMS) to create, update, track, and close work orders and service requests Partner closely with engineering teams to communicate priorities and coordinate maintenance activities Monitor ticket status and proactively follow up with vendors and internal teams to ensure completion of outstanding requests Assist in planning and coordinating meetings, events, and other on-site activities to deliver a seamless workplace experience Provide on-site support during meetings and events, including room coordination, setup assistance, and issue resolution Support daily mailroom operations, including sorting, distributing, and processing incoming and outgoing mail and packages Maintain accurate records and documentation related to facilities requests and operational activities Provide additional administrative and operational support to the Facilities team as business needs require
Required Qualifications:
High school diploma or GED required Experience using a Computerized Maintenance Management System (CMMS) or similar work order management platform Strong coordination and organizational skills with the ability to manage multiple priorities simultaneously Excellent communication and customer service skills Ability to work effectively with facilities teams, engineers, vendors, and internal stakeholders Proficiency with Microsoft Office Suite, including
Outlook, Word, and Excel Preferred Qualifications:
Previous experience in facilities coordination, workplace services, helpdesk support, or office operations Mailroom experience, including handling packages and incoming/outgoing correspondence Experience supporting meetings, events, or workplace activities Some college coursework or an associate degree Familiarity with vendor coordination and service request follow-up
Pay:
$20.00 - $21.10 per hour
