Job Description
We are seeking an energetic, highly organized, and multi-faceted Facilties Coordinator to serve as the administrative and operational heartbeat of a growing manufacturing facility in San Jose. In this role, you won't just keep the office running-you will act as the central hub connecting production operations, onsite leadership, HR, accounting, and facilities management. Supporting a thriving site of 70 to 200 employees, you will wear many hats, balancing administrative duties with facilities coordination and employee engagement in a fast-paced, collaborative industrial environment.
salary:
$40 - $45 per hourshift: Firstwork hours: 8 AM - 5

AssociateResponsibilities Manage day-to-day office administrative functions, overseeing reception and office support personnel. Maintain, update, and enforce standard office policies and procedures. Supervise the ordering of office supplies, mail/package distribution, and equipment maintenance. Coordinate company-wide announcements, meetings, and internal communications on behalf of leadership. Serve as the main point of contact for building maintenance, upkeep of common areas, and workstation setups. Coordinate with external contractors, service providers, and vendors; manage building access control, keycards, and badges. Support regulatory compliance by assisting with OSHA recordkeeping, maintaining safety logs, and organizing onsite safety training/inspections. Coordinate employee onboarding and offboarding schedules, including orientation and system setups. Facilitate employee engagement initiatives, local team-building activities, and company events. Reconcile company credit cards, track departmental expenses, and assist the finance team with invoice processing and procurement documentation. Manage schedules, prepare presentations, and draft meeting minutes for the local leadership team. Coordinate logistics for executive visits, board meetings, and client tours.
