Join our Administrative Services Department as a Hospitality/Facilities Assistant in our Miami office. We are seeking a service-oriented professional who thrives in a fast-paced environment. This role is in-office and requires flexibility to work overtime, including evenings or early mornings, as needed. This role reports to the Office Operations Manager. Position Summary The Hospitality/Facilities Assistant is responsible for providing hospitality services, including food and beverage service, conference room setup, and related support. This role also involves assisting with facilities and maintenance tasks to ensure the smooth operation of the office. Key Responsibilities Delivers exceptional internal and external client service in a courteous and professional manner Plans and executes scheduled service requests for meetings and office events using the Service Tracker System Maintains hospitality supplies and equipment, ensuring availability and functionality Keeps conference rooms, kitchen areas, and food counters clean, organized, and fully stocked Sets up food counters promptly, ensuring readiness by scheduled times. Responds quickly and accurately to guest requests and inquiries. Performs minor patching and painting of interior walls, doors, and ceilings Shampoo carpets after hours in offices as needed Conducts routine maintenance tasks to maintain a safe and functional office environment using the Maintenance Work Order System Assists with receiving and managing deliveries efficiently Provides support for meetings and events, including setup, cleanup, and catering assistance Assists with other department activities as needed and take on additional responsibilities as assigned Demonstrates bartending skills, including mixology, customer service, multitasking, and maintaining a clean, bar environment in fast-paced settings Qualifications Skills & Competencies Self-motivated and a team player, capable of working independently while accepting direction Flexible and adaptable in a fast-paced environment Strong client-focused work ethic and professional demeanor Ability to work under pressure, meet strict deadlines, and handle multiple tasks effectively Excellent attention to detail and strong organizational skills Ability to adapt to varied schedules and unique situations Strong problem-solving skills and ability to work well under pressure Ability to lift up to 50 lbs without assistance and up to 140 lbs with assistance Comfortable retrieving and replacing items from shelving units ranging from floor level to 8 feet high Education & Prior Experience High school diploma or equivalent (preferred) Previous experience in a hospitality or restaurant environment (preferred) At least 2 years of experience in a maintenance environment (preferred) Technology Proficiency in Microsoft Excel and Outlook, with the ability to learn new software programs quickly.
