JOB OVERVIEW
The Development Services Coordinator provides essential support to the Design, Construction, and Facilities teams. This role delivers exceptional customer service while ensuring accurate, organized, and compliant project documentation. The position manages a high‑volume, seasonally shifting workload and helps drive timely execution of departmental milestones. Operating in a fast‑paced environment, the role requires flexibility, strong prioritization, and the ability to adapt quickly as demands change. The successful candidate will contribute to departmental efficiency by anticipating team needs, maintaining smooth workflows, and supporting development projects from bidding through closeout.
ROLES & RESPONSIBILITIES
  • Prepare and distribute bid documents to General Contractors through the project management platform.
  • Track, analyze, and review contract documentation to support vendor selection and contract execution. Prepare AOC/NOC forms where applicable.
  • Create purchase orders, coordinate with vendors, and process invoice payments.
  • Review, process, and reconcile pay requests (AIA/G702/G703) and change orders. Ensure documentation, including lien waivers, is accurately filed.
  • Review and reconcile all close‑out documentation, including certificates of completion, final lien waivers, warranties, and as‑built drawings.
  • Partner with CPMs to provide administrative, financial, and logistical support throughout all phases of construction projects.
  • Research, troubleshoot, and resolve issues related to contracts, invoice payments, and legal requirements.
  • Maintain and update the Facility Vendor Database.
  • Interface with contractors, suppliers, and vendors to obtain required onboarding documentation.
  • Provide responsive support to managers, directors, and team members.
  • Assist business partners in understanding processes and navigating internal platforms.
  • Enter Facilities projects into the project management platform and support Facilities Managers.
  • Manage issue resolution between Facilities Managers, vendors, and operators.
  • Support execution of Service Agreements and maintain the Facility Service Agreement database.
  • Coordinate with internal departments, including Tax, Purchasing, Restaurant Supply, and Accounting.
  • Perform special projects and administrative tasks as assigned.
REQUIRED TECHNICAL SKILLS
  • Proficiency in Microsoft Office (Outlook, Excel, Word); minimum typing speed of 50 wpm.
  • Experience with database, financial, time‑recording, and reporting systems.
  • Familiarity with
AIA/G702/G703
pay application formats.
  • Knowledge of retainage laws and lien waiver processing.
  • Strong customer service orientation in a fast‑paced environment.
  • Ability to work independently and within a team.
  • Excellent organizational, written, and verbal communication skills.
  • Comfort working with numbers, budgets, and financial documentation.
REQUIRED EDUCATION
  • High school diploma or equivalent.
OTHER KEY QUALIFICATIONS
  • Minimum 5 years of coordinator/support experience in a fast‑paced environment.
  • Minimum 3 years of experience in design, construction, or facilities.
  • Ability to support a minimum of five team members.
  • Ability to multi‑task, meet deadlines, and maintain strong follow‑through.
  • Ability to draft and edit routine correspondence.
  • Strong judgment and decision‑making ability.
  • Excellent customer service skills.
PREFERRED SKILLS AND EXPERIENCE
  • Some college coursework preferred.
  • Willingness to work overtime as needed.
