Job Description
Job Summary As the Facilities Supervisor/Project Manager, you will play a key role in ensuring the smooth operation and maintenance of our vacation rental properties and Estate homes. This position requires strong leadership, organizational skills, professional writing and phone demeanor, and the ability to manage multiple responsibilities and projects effectively and simultaneously. Proficiency in Microsoft Office is required, and comfort with new technology is preferred (apps, software, AI technology). You will be reporting to, our Operating Partner, and collaborating with the rest of our team in the operation of our Vacation Rental and Estate Management portfolio of luxury homes. Teamwork and a positive attitude are a must Base Salary - $75,000/year. Discretionary bonus available. Full benefits including health insurance for you and your family. Paid Time Off (PTO) of 15 days on an accrual basis after probationary period.
Responsibilities Team Management:
Lead and supervise the maintenance, providing guidance and support. Schedule and coordinate maintenance activities to ensure timely property maintenance across multiple homes and properties. Collaborate with Maintenance and Vacation Rental team members to optimize schedules and tasks and ensure guest and owner satisfaction with property condition and functionality. Field and respond to guest maintenance calls as needed. Manage, review and approve maintenance billing. Ensure maintenance tasks are completed in accordance with company standards. Perform other duties to support the successful operation of the company and property needs.Property Inspections:
Regularly inspect vacation rental properties and estates to ensure adherence to quality standards. Identify maintenance needs and implement corrective actions. Pre-emptively address potential issues. Document findings and coordinate timely resolution of issues. Collaborate with the maintenance team to address issues promptly, notifying owners and securing authorization before engaging Wailani team or 3rd party vendor to perform the work.Project Management:
Plan, coordinate, and oversee maintenance and improvement projects for vacation rental properties and estate homes. Develop project timelines, budgets, and resource plans. Track and monitor project progress and report on a regular basis to owners and management. Ensure projects are completed within established parameters and with quality control.Third-Party Vendor Oversight:
Identify, contract, and manage relationships with third-party vendors for regular and specialized services.Including but not limited to:
Pest Control, HVAC, Pool, Landscaping, Power Washing, Window Washing, Upholstery/Carpet Cleaning and A/V (audio visual). Conduct regular assessments of vendor performance and adherence to service agreements. Negotiate contracts and ensure cost-effectiveness, procure bids for owner approval.Owner Correspondence:
Communicate regularly with property owners to provide updates on property maintenance and improvements including Monthly property condition reports. Address owner inquiries, concerns, and requests in a timely and professional manner. Collaborate with owners to implement property enhancements.Pay:
