We are looking for an organized, proactive, and detail-oriented Facilities Coordinator to keep our corporate offices and facilities running flawlessly. Position Summary As the Facilities Coordinator, you will be the heartbeat of our daily office operations. This role is a dynamic blend of administrative support, facility logistics, compliance tracking, and financial oversight. You will ensure our buildings are safe, efficient, and well-maintained by managing our internal ticketing system, ordering critical parts, keeping a meticulous eye on department expenses, and scheduling routine property inspections. Key Responsibilities Facilities & Ticket Management:
Monitor and triage the internal facilities ticketing system. Prioritize incoming maintenance requests, assign tasks, and follow up to ensure timely resolution.
Inspection Scheduling & Compliance:
Coordinate, schedule, and track routine building inspections (e.g., fire safety, HVAC preventative maintenance, elevator certifications, and backflow assembly testing) to ensure full compliance with local city codes and safety regulations.
Inventory & Parts Logistics:
Source, order, and track parts and supplies required for facility maintenance and specialized equipment. Maintain accurate inventory levels to minimize downtime.
Financial Tracking:
Reconciliation of monthly credit card reports and expense receipts for the facilities department, ensuring all expenditures are properly coded and within budget.
Daily Office Operations:
Perform essential daily administrative tasks from 7:00 AM to 4:00 PM, including managing mail/deliveries, greeting vendors, organizing shared workspaces, and assisting with opening building safety checks.
Vendor Coordination:
Serve as a primary point of contact for external contractors, licensed inspectors, cleaning staff, and repair technicians, ensuring they have the access and information needed to complete their work.
Qualifications & Skills Experience:
2+ years of experience in facilities coordination, office management, or a fast-paced administrative role.
Tech-Savvy:
Proficiency with internal ticketing/work order systems, inventory tracking software, and Microsoft Office Suite (especially Excel).
Financial & Logistical Acumen:
Basic understanding of budgeting and expense reporting; experience processing credit card reconciliations and managing strict vendor compliance timelines.
Organizational Mastery:
Exceptional time-management skills with the ability to pivot quickly when urgent facility or inspection deadlines arise.
Communication:
Strong verbal and written communication skills for collaborating with internal teams, building inspectors, and external plumbing or fire safety vendors.
Physical Requirements:
Ability to lift up to 35 lbs and remain active/on your feet throughout the day as needed to inspect facilities.
