Job Description
The Facilities Coordinator is responsible for national class affordable multifamily senior housing with a local portfolio of over 600 units. Must have extensive knowledge and understanding of low-rise and high-rise buildings. Responsible for ensuring the efficient operation, maintenance, and safety of building systems and equipment. Position also includes vendor management, project planning, and supporting maintenance activities while maintaining hands-on involvement in critical operational tasks. Essential functions Assist with the development and implementation of facility management policies, procedures, and standards. Plan and coordinate preventive maintenance programs and ensure compliance with OSHA, ADA, building codes, and company policies and procedures. Manage repairs, and capital projects; monitor expenditures and forecast future needs. Negotiate and manage vendor contracts for services such as HVAC, electrical, and plumbing. Review and approve vendor invoices for capital projects, ensuring notarized sworn statements and lien waivers comply with contract terms and pricing. Manage facility upgrades, renovations, and capital improvement projects. Ensure energy efficiency and sustainability initiatives are implemented. Conduct regular inspections and audits to maintain compliance and identify improvement opportunities. Respond and assist with emergency related facility issues. Maintain accurate records for audits, HUD assessments, and compliance reporting. Utilize project management and reporting tools for task tracking and documentation. Performs other related duties as assigned. Work environment Facilities Coordinators work in an office environment with onsite visits to seven co-op locations. Physical demands This position requires sitting at a desk for extended periods of time and a significant amount of time on the phone/computer. It also requires frequent road travel to various properties as well as extensive walking while inspecting properties both inside and outside, in all weather conditions. Must be able to push/pull/lift up to 60 pounds Walk, climb stairs, sit, and stand. Travel required Frequent travel to various properties. Reliable transportation is a must. Required education and experience Bachelor's degree in Facilities Management, Engineering, Business Administration or other related field studies preferred, but not required. Certification as a Facility Manager (CFM) or Facility Management Professional (FMP) is a plus. Minimum 5 years of experience in facilities management, or coordination. Hands-on experience in construction, building maintenance, facilities operations, or specializing in a skilled trade. Strong leadership, team management, communication, and negotiation skills. Excellent organizational and project management abilities.
Knowledge of building systems:
HVAC, plumbing, electrical, elevators, life safety systems. Ability to read blueprints, schematics, and technical manuals. Familiarity with OSHA standards, ADA compliance, and building codes. Familiarity with budgeting and financial management. Proficiency in facilities management software (such as Wrike and Procore) and Microsoft Office. Familiarity with energy management systems and building automation. Attention to detail and accuracy. Ability to manage multiple projects and prioritize effectively. Commitment to safety, compliance, and continuous improvement. Work authorization/security clearance requirements Department of Homeland Security (DHS) regulation requires all employees—citizens, residents, and nonresidents—to complete Form I-9 Employment Eligibility Verification.
