Our programs include early education and care and out of school time care for school age children. We operate across 4 locations in the downtown Springfield area. Overview Square One is seeking a dependable, hands-on Facilities Manager to oversee the day-to-day operations, maintenance, safety, and upkeep of multiple facilities across Springfield. This role is essential to ensuring our buildings remain safe, functional, welcoming, and fully operational for the children, families, and staff we serve. The Facilities Manager will lead routine maintenance efforts, coordinate vendors and contractors, support inspection and licensing readiness, respond to urgent facility needs, and help manage long-term building upkeep and improvement projects. This position requires a practical problem-solver who can work independently, manage competing priorities across multiple locations, and communicate effectively with staff, vendors, and leadership. Some evening or weekend availability may occasionally be required for emergencies, weather events, inspections, or urgent repairs. What You'll Do Facilities Operations & Maintenance Oversee daily facilities operations across four locations, ensuring buildings and grounds are safe, clean, secure, and ready for program use. Conduct regular site walkthroughs to identify maintenance, housekeeping, safety, and repair needs. Perform or coordinate minor repairs including plumbing, carpentry, painting, lighting, locks, doors, furniture, and general building maintenance. Maintain preventative maintenance schedules for building systems, seasonal work, grounds, and facility equipment. Respond to maintenance requests and prioritize work based on urgency, safety, compliance, and program impact. Coordinate snow removal, weather preparation, trash/recycling services, and seasonal property upkeep. Vendor & Project Coordination Coordinate and oversee outside vendors, contractors, inspectors, and service providers. Obtain quotes, compare pricing, monitor quality of work, and verify project completion. Serve as the primary contact for facilities-related vendors including HVAC, plumbing, electrical, pest control, custodial, fire/life safety, and security services. Support small facility projects, office moves, room setups, equipment installation, and minor renovations. Report larger repair needs or capital improvement concerns to leadership with recommendations and cost estimates. Safety & Compliance Help ensure all facilities remain compliant with applicable Massachusetts, municipal, licensing, fire, health, safety, accessibility, and insurance requirements. Track inspections, permits, certifications, corrective actions, and related documentation. Maintain organized records of maintenance activity, vendor work, inspections, and safety concerns. Support emergency preparedness, evacuation planning, weather response, and facility-related incident follow-up. Identify and address safety hazards including leaks, trip hazards, blocked exits, poor lighting, damaged equipment, and unsafe conditions. Administrative & Inventory Support Maintain organized records for work orders, preventative maintenance, inspections, warranties, vendor contacts, keys, supplies, and equipment. Monitor inventory levels for tools, maintenance supplies, and facility materials. Assist with facilities budgeting, vendor tracking, deferred maintenance planning, and equipment replacement needs. Review invoices for accuracy and confirm completion of services. Provide regular updates to leadership regarding facility priorities, repairs, projects, and open work orders. Staff & Program Support Work closely with program and administrative staff to support daily operations. Assist with event setups, room configurations, furniture moves, and special projects. Communicate clearly with staff regarding repairs, building issues, timelines, and temporary disruptions. Promote a responsive, service-oriented approach while maintaining accountability and priorities. Qualifications Required High school diploma or equivalent required; technical training or facilities-related coursework preferred. At least 5 years of progressively responsible experience in facilities, maintenance, property management, or building operations. Hands-on experience with general maintenance, basic plumbing, electrical troubleshooting, carpentry, painting, and building systems coordination. Experience supporting multiple facilities or service locations. Strong organizational, communication, and problem-solving skills. Ability to work independently and manage competing priorities. Valid driver's license and reliable transportation for travel between Springfield locations. Basic computer skills including email, spreadsheets, work order systems, and digital recordkeeping. Ability to pass required background checks and comply with organizational policies related to working in environments serving children and families. Preferred Experience working in nonprofit, education, healthcare, municipal, human services, or multi-site environments. Experience supervising vendors, contractors, custodial teams, or maintenance staff. OSHA, CPR/First Aid, fire/life safety, custodial, or other facilities-related certifications or training. Familiarity with Massachusetts inspection, permitting, and licensing processes. Experience using work order systems, maintenance tracking tools, or inventory systems. Physical Requirements Ability to lift, carry, push, or pull up to 50 pounds regularly. Ability to stand, walk, bend, kneel, climb stairs and ladders, and work indoors and outdoors in varying weather conditions. Ability to safely operate hand tools, power tools, maintenance equipment, and required protective equipment. Additional Information Occasional early morning, evening, weekend, or emergency response availability may be required. CPR and First Aid certification may be required or obtained after hire. All employees are expected to maintain professionalism, confidentiality, ethical conduct, and collaborative working relationships.

$25.00 - $30.00 per hour
