Administrative Support Specialist
IV - IACUC
Administrator Summary:
Under the direction of Program Management and DVR Leadership the Administrative Support Specialist IV shall perform duties for the Animal Care and Use Committee, Animal Study Protocol administration, supply ordering and inventory control, billing entries, vivarium data collection, SOP administration and revisions, training document administration , pest management records, physical plant repair monitoring , animal census data collection, vivarium environmental monitoring data collection , and inventory and equipment management at storage locations. While performing these duties, the employee will primarily be working with a computer and typing; will infrequently be exposed to laboratory animals. Must be comfortable working in an environment where laboratory animals are housed and interacting with DVR Program Leadership and Researchers.
Requirements:
  • Minimum of a college degree and 4 years' work experience or H.S. Diploma and eight years of related work experience. AALAS certification preferred.
  • Computer literacy in Microsoft Outlook, word processing and database record keeping required; Microsoft Suite i.e., Excel, Outlook, Word, Power Point.
  • Ability to work independently with minimal supervision; ability to multitask and possess excellent organizational skills.
  • Comprehension of medical terminology and laboratory animal practices.
  • Be able to effectively and constructively interact with a wide variety of people both inside and outside the NIH.
  • Ability to coordinate information delivery to large groups of people in a timely manner.
  • Must be able to follow verbal and written instructions and exhibit interpersonal skills that are conducive to effective communication and that contribute to a congenial work environment. The duties for the Administrative Support Specialist IV will include:
  • Support the Animal Care and Use Committee by preparing meeting minutes, managing emails, scheduling meetings, updating/revising DVR SOPs, scheduling ACUC inspections, organizing and updating amendments to ASPs.
  • POTS administrator for requesting supplies for the program and training others on the POTS system.
  • Preparing and entering billing information.
  • Assist with updating ASPs including amendments, animal user training information, contact information for users and ensuring animal users provide approval signatures on strict deadlines.
  • Maintain and provide Rodent Birth log information to Institutes.
  • Maintain the ASP folders which includes uploading new ASPs, amendments, archive expired ASPs, and notifying animal users when changes have been applied.
  • Updating SOP folders and notifying animal users when revisions/updates have been applied.
  • Additional assistance, when needed, with monitoring pest management reports and placing ticket requests, monitoring physical plant (ORF) work requests, maintain animal census reports for all facilities, maintain facility space availability and updating space maps monthly and verifying environmental monitoring daily temperatures/humidity/lights.
  • Assist with equipment and inventory management in storage warehouses.
  • Generate reports, memos, and spreadsheets within strict deadlines, using several types of software such as Microsoft Word, Excel, Access, Outlook, and PowerPoint.
  • Answer phones, file, email, fax and distribute correspondence, as necessary.
  • Assisting all PIs, clients and associates with their inquiries and requests.
