GreenSweep LLC is a full-service commercial landscape contracting firm offering grounds maintenance, design, and construction services in the
DC/MD/VA
region. We provide quality services for commercial properties including homeowner associations, apartment complexes, religious facilities, educational institutions, hotels, shopping centers, and more. Position Overview GreenSweep is seeking a self-starter in the multi-faceted role of Fleet, Facility, & Purchasing Manager. The position is responsible for management of the GreenSweep fleet of vehicles, equipment, and tools and the GreenSweep facility and grounds. The position is also responsible for purchasing necessary supplies needed to manage the fleet and facility as well as all job-related materials, supplies, rentals, and other required items. The position must maintain strong working relationships with the entire staff plus suppliers and vendors. The position reports to the President. This is a full-time, in-person position at our headquarters in Silver Spring, MD requiring local travel and typical working hours Monday through Friday. Job Duties and Responsibilities The Fleet, Facility, & Purchasing Manager is expected to perform at a minimum the following job duties and responsibilities: Manage GreenSweep fleet of vehicles, equipment, and tools Track inventory of entire fleet and properly document all changes (lost/stolen/broken equipment). Track inventory of parts and supplies. Perform and track routine inspections of entire fleet based on predetermined schedule. Ensure vehicles are outfitted with proper DOT safety equipment (cones, first aid kit, etc.) Perform and track preventative maintenance, such as checking oil and fluid levels. Diagnose and perform, or outsource as needed, minor maintenance and repair work, such as oil changes, tire rotations, brake repairs, trailer wiring, etc. Maintain records of all parts ordered/received and repairs completed. Evaluate fleet for major maintenance and repair issues. Provide options/evidence for best vendor to complete repairs or replacement of fleet item if deemed necessary. Procure estimates for potential new fleet purchases when requested. Coordinate all maintenance and repairs with Operations Team to avoid interference with job scheduling to best extent possible. Schedule and transport vehicles/equipment to repair shops. Update equipment designation and trailer and locker combination codes as needed. Use clipboard to sign in special equipment used by crews at end of each day. Manage GreenSweep facility and grounds Track and receive all deliveries to shop. Ensure entire shop is clean and organized at all times, including all containers, pallets, garage, material storage areas, plant dock, etc. Self-perform facility and grounds maintenance or schedule in-house crew or vendors as needed. Monitor dumpsters and potty rental for proper pick-up. Purchase necessary job-related supplies and materials Maintain general written knowledge of best suppliers/vendors (based on quality, price, responsiveness, etc.) for specific parts, supplies, equipment rentals, and materials. Order all supplies and materials from appropriate suppliers (procure multiple estimates as needed) adhering to PO process. Arrange equipment rentals when necessary. Coordinate pick-up of any parts, supplies, and materials not scheduled for delivery. Track inventory of all in-stock supplies and materials. Provide direct supervision and leadership to crews Ensure Crew Leaders are accurately completing and submitting DOT-required driver logs and vehicle inspection logs on a daily basis. Ensure Crew Leaders maintain proper DOT medical certification, scheduling medical exams prior to expiration. Ensure crews clear vehicles of trash/miscellaneous debris on daily basis and wash vehicles on weekly basis. Supervise mechanic/mechanic assistant as he/she conducts work. Promote company culture and core values stressing the importance of safety, efficiency, quality, and professionalism. Train field crews on new company policies, operating procedures, and safety measures. Perform other duties as assigned Responsibilities can change daily based on routine maintenance schedules, time-sensitive repairs, significant weather events, or specialized projects. Knowledge, Skills, and Abilities Broad knowledge of the operation, maintenance, and repair of vehicles, trailers, plows, small construction equipment, and various gas and battery-operated landscape equipment. Knowledge of landscape industry best practices and regulations and DOT regulations. Attention to detail, positive attitude, willingness to learn, and the ability to make on-the-fly decisions. Excellent organization, planning, and time management skills, as well as problem-solving and good judgment. Ability to use hand and power tools. Ability to read service and repair manuals. Proficient in the use of technology including the Microsoft Suite, Google Suite, and email. Experience with other applications including Aspire, Sortly, or other inventory management tools preferred. Able to communicate clearly and effectively with vendors, field crews, and management team and collaborate across departments. Bilingual English and Spanish. Education and Experience High school diploma or equivalent required. Two years of related experience preferred in the landscaping or construction industries. Valid driver's license, clean driving record, and ability to be insured by company insurance carrier. Physical Requirements Prolonged periods sitting and/or standing at a desk and working on a computer. Must be able to work safely in a noisy area with many odors present. Potential work hours during the snow season include nighttime, weekends, and holidays to participate in snow removal activities. Safely perform heavy lifting/pushing/pulling of various landscape equipment and materials. Lift and carry up to 50 pounds at a time. Good vision to inspect repair work. Push, pull, grip, and squeeze various tools and products. Must be able to bend, stretch, kneel, and squat.
