Your Impact and Opportunities As a Facilities Assistant, you will serve as the primary point of contact for workplace operations, transforming routine tasks into streamlined successes:
Drive Workplace Efficiency:
Act as the primary hotline contact to respond to facilities inquiries and service requests.
Master Work Order Tracking:
Enter, route, schedule, and track all work orders through completion in Archibus software.
Coordinate Dynamic Events:
Seamlessly manage conference room bookings, coordinate advanced AV setups, and handle cross-location vendor scheduling to support administrative event needs.
Support Facility Operations:
Assist with essential office moves, deep cleans, and operational proposal reviews.
Manage Key Vendor Relations:
Oversee the Iron Mountain pickup service, including vendor escorting, scheduling, invoice verification, and Security reconciliation.
Maintain Compliance & Signage:
Manage vendor Certificates of Insurance and handle miscellaneous updates like internal display calendars or facility signage. What You Bring to the
Team Functional Expertise:
2 + years of proven experience in facilities support, operational coordination, or administrative maintenance.
Technical Proficiency:
Experience managing work orders within a tracking system (Archibus or similar software is highly valued).
