Job Description

Rental/Project Manager The Rental Manager protects Broughton Commercial Properties' profitability by ensuring deliveries and pickups are made on time and with excellent customer service. Also the Rental Manager will lead new building construction projects, oversee repair and maintenance and manage all rental properties to ensure building presentation and operations are maintained according to required standards and procedures.
Specific duties are as follows:
  • Oversee daily facilities issues including: o Monitor and respond to facilities requests o Air conditioning/heat requests o Physical premises o Construction and remodels o Electrical o Plumbing o Move, add and change process o Keep good records § All records should be filed in a location that is accessible to everyone.
  • Create and communicate project schedules with internal project management, sub-contractors, vendors, clients and supervisor (Mr. Broughton)
  • Set goals for the properties and proactively lead team to meet the goals
  • Organize and administer multiple projects and effectively communicate to internal and external customers
  • Serve as initial contact for clients by receiving and tracking repair and maintenance issues
  • Establish credit with new vendors and negotiate terms
  • Inspect project site and evaluate contractor work to detect design malfunctions and ensure conformance to design specifications and applicable codes
  • Work in conjunction with city building departments and utility companies to ensure compliance for occupancy.
  • Work with contractors and vendors to keep with move-in date and keep projects on schedule
  • Coordinate tenant move-in/move-outs, get utility information to switch to our name or new tenants name
  • Ensure spaces are ready for showing - contact cleaning personnel if needed
  • Report issues occurring at the project site to the Supervisor and assist with resolving issues quickly
  • Supervise custodial staff for basic office maintenance and cleaning of tenants offices and ESB building
  • Manage relationships with sub-contractors, key vendors and tenants associated with day-to-day facilities and scheduled maintenance services
  • Keep accurate inventory of all furniture on premises and in storage
  • Handle client issues professionally and timely
  • Review and approve all recurring and non-recurring payables.
  • Provide on-call availability after hours 24/7 for emergencies to maintain excellent customer service
  • Answer phones professionally and friendly - take care of caller's needs in an efficient and effective manner.
  • Contract outside vendors as needed for services such as landscaping and snow removal.
  • Manage and rent Chestnut Room daily. Show space when needed.
  • Perform other duties as assigned by Mr. Broughton or office manager/accountant (Tamra)
  • Place coffee/tea orders, count and track inventory, receive orders and direct employees to deliver to customers
  • Keep files for EPA and work permits by Building #
  • Keep files of drawings complete and up-to-date, correspond with architects
  • Create budgets for projects and anticipated repairs and maintenance for the year.

RENTAL/PROJECT MANAGER
Previous rental and construction experience preferred. Must be able to multi-task in a busy, fast-paced office setting. Must have knowledge of construction and provide excellent customer service to our tenants. The position is salary Mon-Fri 8-4:30 but be flexible to work after hours and or weekends if needed.
