(k) and access to retirement planning Employee Assistance Program (EAP) Paid holidays and vacation The Facilities Support Specialist provides administrative and logistical support to ensure the efficient operation and maintenance of the organization's physical facilities. This role assists with vendor coordination, work order management, space planning, safety compliance, and day-to-day facilities support tasks.
Essential Functions:
Serve as the first point of contact for internal facility requests and coordinate timely resolution. Manage and track work orders, preventive maintenance schedules, and repair requests using facilities management software. Liaise with vendors, contractors, and service providers for maintenance, repairs, and other facility-related services. Support space planning and office moves, including coordinating furniture, supplies, and setup logistics. Assist with building security, access control, and compliance with health and safety protocols. Maintain inventory of facility-related supplies and equipment. Help monitor building systems such as HVAC, lighting, and plumbing and report any malfunctions. Conduct regular walkthroughs to identify facility needs or safety concerns. Assist in implementing emergency procedures and support incident response when needed. Support sustainability and cost-saving initiatives related to facilities operations. Satisfactorily demonstrates the knowledge, skills, and abilities to perform the duties outlined in this job description as well as continually demonstrates competency in performing the job duties.
Qualifications:
High school diploma or equivalent required; associate's or (2) years college or technical school; or 5+ years related experience and/or training; or equivalent combination of education and experience. Exceptions to these requirements may be made on a case-by-case basis. Strong organizational and time management skills. Proficient in Microsoft Office and facilities/work order software (e.g., CMMS). Excellent communication and customer service skills. Ability to work independently and manage multiple priorities. Familiarity with OSHA, ADA, and other safety/compliance regulations a plus. Must successfully pass criminal background check. Must complete and/or take all required health screenings and vaccines.
