Saint Norbert Church & School Job Description Title:
Part-time Facilities CoordinatorReports to:
Director, Mission & OperationsClassification:
Part-time (some weekend and evening presence required) Position Summary Saint Norbert Parish (Church & School) is seeking a reliable and detail-oriented Part-Time Facilities Coordinator to oversee the maintenance, cleanliness, and basic operations of the parish campus. This role ensures that our church, school, and parish office buildings are safe, clean, and well maintained so that parishioners, students, staff, and visitors can fully participate in the life of the parish. The Facilities Coordinator supervises routine maintenance, coordinates repairs, oversees cleaning efforts, and works with staff and vendors to ensure the campus is well cared for. Work Schedule
  • Part-Time (approximately 20-25 hours per week)
  • Flexible schedule with some availability needed around weekend liturgies or parish events when necessary.
Works With:
School Principal, parish staff, ministry leaders, custodial staff, and vendors Key Responsibilities Facilities Operations
  • Coordinate day-to-day facilities needs for church, school, parish offices, and grounds
  • Serve as first point of contact for facilities-related requests and issues
  • Perform routine walkthroughs to identify maintenance, safety, or cleanliness concerns
  • Manage cleaning crew standards and practices
  • Oversee landscaping and snow removal operations and communicates with vendor/stakeholders
  • Maintain organized records for maintenance, repairs, warranties, and inspections Maintenance & Repairs
  • Coordinate preventive maintenance schedules (HVAC, fire systems, plumbing, electrical, etc.)
  • Troubleshoot basic facilities issues and perform minor repairs when appropriate and responds to HVAC, fire systems, plumbing, electrical, etc. issues and brings in outside support when necessary
  • Request, review, and track vendor quotes and service work
  • Monitor completion and quality of vendor work Vendor & Contractor Coordination
  • Schedule and oversee outside vendors and contractors
  • Ensure compliance with parish policies, insurance requirements, and safety standards
  • Maintain vendor contact lists and service agreements Event & Space Coordination
  • Support setup and breakdown for parish and school events, liturgies, and activities
  • Coordinate room configurations, furniture movement, and equipment needs
  • Work with ministry leaders and school staff to ensure spaces are ready and properly reset Safety & Compliance
  • Assist with safety procedures, emergency readiness, and building access protocols
  • Monitor building security systems and key control, as applicable
  • Respond to security/fire alarm events
  • Support compliance with local codes, diocesan guidelines, and internal policies Qualifications Required
  • High school diploma or equivalent
  • 2+ years of experience in facilities coordination, maintenance, property management, or a related field
  • Working knowledge of building systems (HVAC, electrical, plumbing)
  • Experience coordinating vendors and service contracts
  • Strong organizational and communication skills
  • Ability to manage multiple requests and prioritize effectively
  • Comfort working independently and collaboratively
  • Basic computer skills (email, work orders, spreadsheets) Preferred
  • Experience in a church, school, or nonprofit environment
  • Familiarity with safety and preventive maintenance best practices
  • Experience with security systems and surveillance cameras Physical & Scheduling Requirements
  • Ability to lift up to 40 pounds and perform light physical work
  • Ability to walk campus and navigate stairs
