Description
General Position Summary
The Facilities Specialist plays a key role in ensuring the day-to-day functionality, cleanliness, and operational excellence of the W+K Portland office. This includes providing hands-on support for office upkeep, coordinating vendor access, assisting with internal office moves, supporting events, and partnering with the Office coordinator and Building Engineers to resolve facility-related requests. This is a dynamic, hybrid role that offers a stepping stone into multiple facets of facilities and building operations, with room for development.
Major Responsibilities/Primary Functions
Office & Facilities Support
Assist with preventative maintenance tasks
Perform light repairs under supervision
Support the performance of equipment through manufacturer-recommended preventive maintenance tasks
Learn to operate and maintain motors, compressors, fans, and electrical equipment under supervision
Help maintain, inspect and repair and calibrate basic elements of heating and cooling systems
Conduct routine inspections of restrooms, mechanical rooms, and utility closets
Observe and help document maintenance schedules
Perform basic plumbing tasks including operating and maintaining plumbing systems
Assist with inspections and upkeep of gas lines, valves, and control devices
On-call some weekends/after hours for any maintenance and building emergencies (alternates monthly) Identify and report issues via ticket system
Track and document maintenance tasks using ticket system
Manage incoming facilities requests using ticket system
Partner with Mailroom and Building Engineers to complete tasks and close tickets
Help maintain a clean and professional appearance of mechanical rooms
Monitor supply levels of maintenance materials
Maintain the 6th floor deck area
Conduct routine inspections for leaks or safety hazards
Help maintain and monitor life safety systems
Support proper chemical storage practices
Shadow or support Building Engineers during vendor visits
Assist Building Engineers with maintaining all building equipment
Coordinate access for vendors, contractors, and delivery teams
Events & Meeting Support
Assist with setup and teardown of internal meetings, events, and activations.
Take event briefs and relay setup needs to Mailroom or Facilities teams; raise tickets as needed.
Mailroom & Office Supplies Support for Coverage
Offer backup support to the Front Desk and Mailroom teams during absences, breaks, or peak periods. Receiving and sorting mail/packages and delivering to employees.
Conduct walkthroughs of office and common areas (conference rooms, kitchens, restrooms, etc.) to ensure cleanliness, order, and functionality.
Straighten and tidy shared spaces; restock supplies like stationery, paper, and amenities.
Assist with outgoing mail and inter-office shipments to global W+K offices.
Help track packages and resolve courier issues.
Restock and maintain office supply inventory, coordinating with vendors as needed
Qualifications, Distinguishing Characteristics and Special Requirements
Ability to communicate with employees, tenants and tradespeople both verbally and in writing
A demonstrated track record of gaining trust and respect by consistently demonstrating sound critical-thinking skills and maintaining composure in stressful situations
Exceptional initiative and follow-through skills
While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee frequently is required to climb or balance and stoop, kneel, crouch or crawl. The employee must regularly lift and/or move up to 75 pounds.
Punctual and reliable
Working knowledge of GSuite (Gmail, Google Calendar, etc.), Microsoft Excel
Strongly preferred First Aid trained or willingness to be certified
