This role serves as a centralized operational resource focused on program oversight, process improvement, risk mitigation, vendor management, and cross-department collaboration. The position partners closely with Operations, Regional Managers, Property Maintenance teams, and Corporate Leadership to ensure company standards, preventative maintenance programs, safety initiatives, and operational systems are consistently maintained and supported throughout the organization. The Operational Risk and Facilities Manager will also oversee a dedicated full-time Facilities Assistant position, which will provide administrative and program support for departmental tracking, reporting, compliance monitoring, vendor coordination, and preventative maintenance administration. Together, these roles will establish and support the company's growing operational risk and facilities compliance infrastructure. This is a highly collaborative and systems-oriented role requiring strong organizational skills, communication, follow-through, and the ability to manage multiple operational initiatives simultaneously. The ideal candidate will be proactive, solutions-oriented, and comfortable balancing strategic oversight with hands-on operational coordination. Travel is expected up to 20%. Specific Responsibilities:
1. Safety Program Coordination Lead and manage PMI's corporate safety program and chair the Safety Steering Committee Coordinate monthly safety meetings and prepare safety training topics for both site teams and corporate staff Review monthly Safety Assessment Reports; identify deficiencies and follow up with site operations teams. Monitor incident and injury reporting to ensure proper documentation and identify prevention strategies Develop and distribute risk management communications related to seasonal hazards, workplace safety, and accident prevention Coordinate safety-related training initiatives including new hire safety orientation, incident reporting procedures, and PMI University training sessions. 2. Capital Project Contract Management Coordinate the review and execution of larger capital project contracts across the portfolio Review project scopes, proposals, pricing, timelines, and vendor documentation related to major capital improvements Maintain centralized tracking of project contracts, insurance documentation, warranties, and related project records Partner with Operations, Maintenance, and Leadership teams to support successful project execution and communication Identify opportunities for operational efficiencies, cost savings, and process standardization related to capital project management 3. Environmental Compliance Oversee environmental compliance programs across the property portfolio Maintain environmental tracking systems, compliance documentation, and required notifications for residents, employees and contractors Manage annual environmental documentation for employees and new hires in partnership with HR Track state-specific environmental compliance requirements and coordinate vendor testing as necessary Maintain and update the Environmental Compliance Manuals, forms and operations procedures Support field teams in addressing environmental compliance questions and operational concerns 4. Preventative Maintenance and Facilities Support Oversee company-wide preventative maintenance tracking and compliance programs Supervise departmental processes related to quarterly preventative maintenance reporting, contract tracking, and operational follow-up Ensure properties maintain current preventative maintenance plans, vendor information, and critical emergency contact documentation Monitor compliance-related maintenance requirements including elevator certifications, fire safety systems, and other regulated operational items Provide operational guidance to site teams related to seasonal preparedness, storm response, and maintenance best practices Partner with Operations and Maintenance leadership to identify process improvements and operational efficiencies 5. Corporate Facilities Management Oversee maintenance and operations of the corporate office Manage vendor relationships and service contracts including cleaning, landscaping, fire systems, security services and elevators. Coordinate repairs, preventative maintenance scheduling, and general facility needs Assist with budgeting, procurement and invoice approvals related to corporate facilities 6. Emergency Preparedness & Response Maintain and update the PMI Emergency Response Manual Support property teams in emergency preparedness planning and response protocols 7. Benchmarking & Regulatory Reporting Oversee utility benchmarking and jurisdictional reporting programs across the portfolio Ensure new properties are established within required reporting systems including ENERGY STAR and related compliance platforms Supervise departmental tracking, collection, and submission of utility and compliance-related data within required deadlines Monitor ongoing compliance with applicable state and local reporting requirements 8. Additional Responsibilities Supervise and support the Facilities Assistant position, including delegation of administrative and operational support responsibilities Assist with operational budgeting related to corporate office facilities Participate in operational planning, process improvement initiatives, and cross functional company projects Perform other duties as assigned Education and Experience:
Candidates should possess a post-secondary degree and job experience in workplace safety and/or facilities maintenance or an equivalent combination of education, training, and experience. Skills/Knowledge/Abilities:
Experience in the use of business computer systems and software such as Microsoft Excel, Word, and Outlook. Good verbal and written communication skills are essential.
