[2026-27] Facilities Manager Chattanooga Preparatory School - 1.0 Chattanooga, TN Job Details Full-time $60,000 - $65,000 a year 13 hours ago Qualifications Vendor relationship building Full Job Description Position Overview The Facilities Manager is responsible for ensuring the safe, clean, functional, and efficient operation of all school facilities and grounds. This role oversees maintenance, vendor management, inspections, repairs, custodial services, event support, and facility compliance to provide a high-quality learning and working environment for students, staff, and families. Key Responsibilities Vendor Management Coordinate and oversee third-party vendors for specialized services, including HVAC, roofing, landscaping, plumbing, electrical, and facility repairs. Source, vet, and recommend vendors based on cost, reliability, quality, and service Delivery. Assist with contract negotiations and monitor vendor compliance with contractual Agreements. Schedule vendor services and evaluate performance to ensure work meets organizational standards. Review vendor invoices and maintain records of contracts, service agreements, and payments. Facility Inspections and Compliance Conduct monthly facility inspections to ensure safety, functionality, and compliance with applicable regulations. Perform routine inspections of fire prevention systems, emergency lighting, and life-safety equipment. Inspect and monitor fire extinguishers and document corrective action plans as Needed. Identify maintenance concerns, safety hazards, and code compliance issues and coordinate corrective measures. Grounds and Lawn Maintenance Maintain clean, safe, and attractive exterior grounds. Remove debris, trash, and hazards from lawns, walkways, parking lots, and common areas. Monitor landscaping vendors to ensure weekly mowing, edging, trimming, mulching, leaf removal, and general grounds maintenance. Conduct ongoing inspections of exterior areas and report concerns promptly. Building Maintenance and Repairs Perform or coordinate repairs related to: Drywall Painting Plumbing Electrical systems General building maintenance Summer projects (restoration for incoming school year) Diagnose facility issues and complete minor repairs when appropriate. Coordinate specialized repairs with licensed contractors when necessary. Key and Asset Management Maintain a secure key inventory system. Track key distribution, returns, and access permissions. Ensure facility security protocols are followed. Vehicle Maintenance Maintain school vehicles and vans to ensure operational readiness. Coordinate preventative maintenance, including oil changes, tire rotations, brake inspections, and repairs. Ensure vehicles are clean, organized, and event-ready. Address mechanical concerns and coordinate service appointments as needed. Furniture, Equipment, and Supply Management Coordinate the movement of furniture and equipment for events, classroom changes, and facility needs. Move and organize supplies, materials, and equipment to designated locations. Assist with facility setup and reconfiguration projects. Troubleshooting and Work Order Management Manage facility work orders through designated systems (e.g., Monday.com). Investigate reported issues related to HVAC, plumbing, electrical, and building Operations. Prioritize and resolve maintenance requests in a timely manner. Coordinate with vendors and contractors for complex repairs. Event Support Coordinate event setup and teardown activities. Arrange tables, chairs, equipment, and room configurations as needed. Restore facilities to operational standards following events. Custodial and Janitorial Oversight Supervise janitorial staff and ensure high-quality cleaning services are provided during school hours. Develop custodial schedules and assign daily responsibilities. Monitor performance and provide coaching and feedback. Address staffing concerns and coordinate with custodial vendors as needed. Review and approve janitorial timesheets for payroll processing. Qualifications Technical Skills Knowledge of facility systems, including HVAC, plumbing, electrical, and building maintenance. Experience managing vendors, contracts, and service agreements. Ability to use work order management systems and technology platforms. Proficiency with Microsoft Office and Google Workspace. Physical Requirements Ability to lift up to 50 pounds. Ability to work indoors and outdoors in varying weather conditions. Ability to stand, walk, climb ladders, bend, and perform physical maintenance tasks as required.
