Job Description

Facilities Coordinator Description:
The individual serves as the first point of contact for facility-related questions and suggestions received from corporate employees. Responsibilities include day-to-day operations, maintenance of the corporate office environment, verification of agreed-upon prices for supplies and products delivered, and completion of miscellaneous employee requests. In addition, this position supports continued training to the receptionist role and performs the receptionist's functions when the receptionist is away, which include directing visitors, operating the phone switchboard and issuing security cards. This role interacts with numerous contacts including corporate employees, pertinent vendors, building engineers, etc., making it necessary to always possess a professional attitude and appearance and have a welcoming approach at all times. Responsibilities include but are not limited to: Coordinate repairs for the corporate office environment by working with multiple vendors and building management to ensure the facility is up to optimum standard. Prevent damage or injury by following safety procedures and quickly addressing problems. Assist with continued training for the current receptionist role. Perform receptionist support functions when main receptionist is not available which includes answering and directing incoming calls, welcoming visitors/job applicants, and receiving packages. Retrieve and sort daily mail packages. Maintain and stock postage meter, FedEx and other shipping supplies. Assist corporate employees in sending out domestic, ground, and international packages with the most cost-effective options. Inventory office and kitchen supplies and order as needed. Confirm all supplies ordered are correct when received and billing is sent in a timely manner with correct charges. Inventory medical supplies and ensure delivered items are charged according to negotiated rates. Coordinate with vendors to provide fresh and stocked snack and beverage kiosks and machines. Coordinate with office personnel, vendors, and management to complete projects or day-to-day tasks. Perform special projects as needed. Other duties as assigned.
Qualifications:
Ability to multitask and effectively organize responsibilities. Excellent customer service, verbal and written communication skills needed. Ability to maintain professionalism at all times. Demonstrate strong collaboration and teamwork skills within the Facilities team as well as be able to work individually with little supervision. Ability to lift up to 50 lbs. unassisted.
Software skills:
