PRIMARY FUNCTION
The Development Associate will support organizational initiatives related to fundraising and will gain firsthand experience in strategic planning to increase the capacity of the Boys & Girls Club of Pasadena (BGCP) to advance BGCP's mission. The Development Associate will be involved with event planning, fundraising appeals, donor stewardship activities and relationship management, including working with a team to enhance fundraising and donor communications strategies for BGCP, as well as donor and grant research, gift entry and acknowledgement, reporting, and tracking. He/She/They are expected to maintain and provide accurate, current information about donors to the Vice President of Development, CEO, Major Gifts Officer, and Board of Directors, and keep donor database current. This role will serve as the catalyst for a successful career in nonprofit fundraising and relationship management for the right candidate. KEY ROLES
(Essential Job Responsibilities) Strategic Planning Support the implementation of the Club's Strategic Plan goals: Expand and deepen BGCP's value proposition for youth, families, and the community Ensure a Club experience for teens that prepares them for success in college and career Foster mutually beneficial strategic partnerships Build BGCP's financial sustainability and resilience Fundraising Functions Assists with the creation and implementation of the annual BGCP Resource Development Plan that incorporates a range of strategies including annual appeals, major donor gifts, grants, corporate and individual appeals, and special events. Leads recurring donor stewardship efforts among Board members and Club staff. Works to acquire new donors and keeps in regular contact with donors during fundraising events and through other outreach. Develops, implements, and manages two annual digital and print campaigns for unrestricted gifts from individuals, as well as other donor correspondence throughout the year. Maintains and increases the donor base to promote mid-level and major gift cultivation and solicitation. Processes in-kind donations, from initial contact with in-kind donors to delivery/pick-up of items, to coordination with program and administrative staff on use of items, to donation acknowledgement. Assists the CEO and Vice President of Development in scheduling meetings with prospective and current funders and donors. Works with Vice President of Development (and event committees, as appropriate) on fundraising events: managing details and logistics for annual fundraising gala and other events, including guest ticketing; sponsorship; auction item procurement and coordination; establishing and adhering to event budget; assisting with event preparation; soliciting support from event donors and supporters; attending events; and participating in set-up, implementation, and clean-up. Assists grant writing consultant in grant tracking, reporting, monitoring, and research. Creates correspondence to potential and current donors, volunteers, alumni, and guests in order to inform them of events, important announcements, and activities. Marketing Functions Assists with the design, production and implementation of Club communications, marketing materials, and marketing/communications strategies, in partnership with Marketing Manager. Develops content for social media posts for event outreach, fundraising appeals, donor recognition, and sponsorship visibility. Administrative Functions Designs and runs donor reports in DonorPerfect database for the Vice President of Development, Major Gifts Officer, and CEO on a regular, proactive basis. With a sense of curiosity, runs reports and conducts research that informs all fundraising and outreach efforts. Assists in gathering pertinent Club data for grant reporting, program evaluation, and donor communications. Conducts database maintenance, including maintaining the accuracy and integrity of data entries by ensuring that all information is kept current, including recording donor interactions and correspondence. Works with Vice President of Development to recognize all donors according to the BGCP stewardship plan, including letters, handwritten notes, gifts, and other appreciation mechanisms. Participates in and staffs event and other committees, including preparing agendas and meeting locations, taking meeting minutes, and sending them to committee members in a timely fashion. Manages and finalizes guest lists for all events where donors or prospective donors are invited, including program related events, recognition events, and fundraising events. Performs basic administrative duties such as data entry, maintaining a filing system, light errands, and more. Other Functions Establishes and maintains appropriate communications among Board of Directors, volunteers, and staff members. Attends networking events with the Vice President of Development to increase professional network, refine relationship management skills, and enhance BGCP outreach and capacity. Other duties as assigned.
QUALIFICATIONS
Bachelor's degree from an accredited college or university Excellent written and verbal communication skills in person, by phone, or electronically. Knowledge of development and communications principles and practices. Knowledge and experience with data entry systems and reporting, ideally a customer relationship management (CRM) system. Fluency with technology tools used for Development and fundraising, including social media platforms, email platforms such as Constant Contact, Canva, donor databases, and Adobe design tools. Strong attention to detail, project management skills, and being highly organized a must. Flexible, able to work in a fast-paced environment, adaptive to change. Upbeat, positive attitude, good sense of humor, and willingness to pitch in as part of a larger team when/where needed. Fosters positive relationships with current and potential donors through direct, professional contact verbally and in written communication. Ability to prioritize and manage multiple projects efficiently/effectively with minimal direction to achieve milestones. Strong ability to take initiative and ownership of projects and duties once assigned. Proficient in the use of various MS Office programs, including Word, Excel, and Outlook. 1-3 years' experience working in donor relations, gift solicitations, planning large-scale events, and/or campaign management.
