POSITION SUMMARY
This position is responsible for identifying, developing, and submitting competitive grant proposals to secure external funding in support of institutional priorities, academic programs, research initiatives, and student success outcomes and is also responsible for all aspects of pre and post award management for internal and external sponsored programs at RSU. The Grant Writer will work closely with faculty, administrators, and external partners and will ensure compliance with applicable Oklahoma State Regents for Higher Education (OSRHE) policies, federal regulations, and sponsor-specific requirements, including the National Science Foundation (NSF) and other federal agencies.
PRIMARY DUTIES/ESSENTIAL FUNCTIONS
Grant Development and Submission Identify and evaluate funding opportunities from federal, state (including OSRHE programs), foundation, and corporate sources Lead the preparation, writing, and submission of grant proposals, letters of intent, and supporting documentation Ensure all proposals comply with sponsor requirements, including federal guidelines such as National Science Foundation Proposal & Award Policies & Procedures Guide (NSF PAPPG) Coordinate timelines, internal routing, and approvals for submissions Collaboration and Institutional Support Collaborate with faculty, deans, Institutional Research, and Sponsored Programs to develop competitive proposals Integrate institutional data, assessment measures, and student learning outcomes into proposals Assist faculty with proposal structure, narrative development, and compliance requirements Assist with other tasks within the Academics and Accountability Department as needed Budget Development and Compliance Assist with development of grant budgets and budget justifications Ensure proposed costs comply with federal cost principles under Uniform Guidance (2 CFR Part 200), which establishes administrative, cost, and audit requirements for federal awards Post-Award Support and Reporting Support faculty and project directors with required reporting and documentation Track deadlines for interim and final reports Assist with audit preparation and grant closeout documentation Internal Grants Administration Coordinate and manage RSU internal grant programs Facilitate proposal solicitation, review processes, and award tracking Maintain records of applications, awards, and outcomes Committee Coordination Serve as staff liaison to the Scholarly Activities Committee (SAC) Coordinate review cycles, documentation, and communications Support evaluation and reporting of internal grant program effectiveness Compliance and Regulatory Oversight Ensure grant activities comply with: OSRHE policies for academic and fiscal accountability Federal regulations, including 2 CFR Part 200 Federal sponsor requirements (e.g., NSF PAPPG) governing proposal content, disclosures, and certifications Coordinate with the Authorized Organizational Representative (AOR) to ensure institutional certifications are accurate Grant Tracking and Reporting Maintain comprehensive records of proposals, awards, and outcomes Track submission deadlines and reporting requirements Handle administration and reporting requirements for TSET Legacy Grant Provide regular reports to leadership on grant activity Relationship Management Develop and maintain relationships with funding agencies and program officers Serve as a liaison between RSU and external funding organizations
KNOWLEDGE AND SKILLS
Excellent interpersonal skills, including strong oral and written communication skills Knowledge of grant submission and post award management requirements and processes Ability to analyze data Computer proficiency, including word processing, spread sheets, databases, presentation, email, and AI platforms
MINIMUM QUALIFICATIONS
Bachelor's degree 2-5 years of grant writing, research administration, or related experience Demonstrated ability to develop clear, persuasive written materials Ability to represent the University with campus organizations and outside constituencies
PREFERRED QUALIFICATIONS
Graduate degree Certified Research Administrator (CRA) and/or Certified Grant Writer (CGA) Experience with federal grant programs (e.g., NSF, DOE, NIH, etc.) Familiarity with higher education assessment, institutional research, or accreditation processes Experience working in a public higher education environment
PHYSICAL REQUIREMENTS
Work is primarily performed in a standard office environment with extended periods of computer use Occasional attendance at meetings, trainings, or grant-related events may be required

Reports to: Associate Vice President for Academic Affairs, Academics and Accountability Works in coordination with: Faculty investigators Sponsored Programs / Authorized Organizational Representatives (AOR) Finance and compliance offices
HOURS:
8:00 a.m. to 5:00 p.m., Monday through Friday, and as needed to meet submission deadlines
