Position Overview The Church Administrator reports to the Lead Minister. The position is part-time (25 hours per week) with 1-2 times monthly evenings (one in person, one online) to support committee meetings, with an additional evening and weekend event on occasion. Benefits include two weeks of PTO, two weeks paid sick time, and five paid holidays (if they fall on a work day). The Church Administrator oversees the business functions of the church, working with our accountant, treasurer, and finance committee on financial oversight, and contracts with long term tenants. The Church Administrator oversees building and grounds, our parking lot, and vendors contracted for property issues. They also superve a part-time building technician and building associates who cover space usage outside of regular business hours. The Church Administrator is generally present onsite during business hours, Tuesday through Friday, 10am-3pm, though the position often requires some flexibility to complete projects or communicate outside of business hours. The Church Administrator works with other employees and volunteers in accomplishing the business and maintenance of the church. The Church Administrator is someone who takes responsibility for their work and functions at a high capacity, with an ability to get things done. They are a people-person, team-oriented, detailed, independent, flexible, and comfortable dealing with some ambiguity.
Position Responsibilities Facilities Management Building and Grounds Management:
Liaison to the Building and Grounds Committee, manage vendors including the parking lot company, cleaning, lawn care/snow removal, and maintenance. Oversee capital improvement projects. Manage volunteer upkeep of gardens.
Risk Management:
Assess and manage risk to staff and other building users. Contact for insurance agent, worker's comp. insurance, and fire/alarm vendor. Liaison with City of St. Paul over building code compliance.
Business Management Financial Management :
Work closely with church Treasurer, Accountant, Finance Committee and other staff to prepare annual reports and monthly statements, manage relationships with banking and loan institutions and credit card company, and ensure financials are accurate and completed in a timely manner.
Rental Management:
Liaison with long term rental groups including the St. Paul's Childhood Center, parking management company, St. Paul Chamber Orchestra, and Holy Presence Old Catholic Church. Ensure appropriate rental contracts are maintained, rental income is received, calendar is updated, communication is shared, property is ready for rentals, and building is staffed. Other Duties as

Committee Leadership Ex-Officio Member:
The Church Administrator is the ex-officio member of Building and Grounds and Finance committees. They are the staff support for volunteer leaders and influence without authority to make sure committees and the Ministry Board have what they need to do their work and complete projects. The amount of support may change as new leadership rotates on and off, so the Church Administrator must be comfortable onboarding new volunteers who bring different skill sets to the role. Qualifications and skills
  • Experience with Microsoft Office and Google Workspace
  • Experience managing building and grounds systems
  • Experience with financial oversight, budgeting; experience with QuickBooks is a plus
  • Experience writing Building Use Agreements and reviewing contracts
  • Understanding of policies to ensure church aligns with local, state, and federal laws
  • Strong attention to detail, problem-solving skills, interpersonal skills, ability to work with volunteers and independently
  • Ability to work in an environment with multiple points of accountability among a supervisor, other staff, and volunteers
  • Discretion and confidentiality
  • Availability for evening church committee meetings and additional meetings and events as needs arise
  • Availability for occasional emergency building issues
