Job Description

Our campus also includes Hudson Memorial Preschool, a vibrant half-day program for infants to 5 year olds. •Please read the full job description before applying. Overview :
Oversee the day-to-day operations and finances of the church: supervise and support administrative staff, interact with congregants and community members, and assist church staff and lay leadership; manage and maintain campus facilities and serve as liaison for HMPC Committees, contractors, and community groups; transact business affairs.
Administrative Support:
Supervise office and kitchen personnel, including hiring, reviews and termination in consultation with Head of Staff and Personnel Committee Perform Human Resource functions, including onboarding of all church and preschool employees Act as church receptionist and greeter; address the needs of visitors Maintain membership database, church records, and files in digital and hard-copy formats, adhering to church confidentiality policy Maintain all Volunteer Policies and Procedures Manage the calendar for church and community groups ensuring appropriate building access Produce monthly, quarterly and annual reports for lay leadership, staff, and the Presbytery Create monthly Session report and submit an annual PCUSA report. Maintain a Standard Operating Procedure Manual and recommend changes as appropriate Monitor church infrastructure, including hardware, software, phone system, internet, workspace and website Non-voting Ex-officio member of property and finance committees Other tasks as assigned by Head of Staff or requested by lay leadership
Financial Responsibility:
Manage and support annual budget process, which includes supporting the annual pledge campaign and preparing budget requests for certain committees Maintains giving and financial records on church software Transact all stock donations
Accounts Payable:
Create and maintain vendor files; process W9s, coordinate approval of invoices, and process payment in a timely manner; generate and distribute checks for the church and preschool; manage bill autopay, charge against correct accounts; accordingly, calculate and track sales tax, and file for state reimbursement biannually
Accounts Receivable:
Process and post check & cash donations, maintain records for all deposits for church and preschool; create and distribute contribution statements and acknowledgments; process monthly bank drafts for church and preschool
Payroll:
Maintain employee records; process bi-monthly payroll for the staff of the church and monthly payroll for the staff of the preschool; enter and record payroll in the church accounting software; manage timesheets for hourly church staff
Reports:
Produce, review, and distribute monthly and annual reports for the church, preschool, foundation, and presbytery; track status of approved funding and project expenditures; maintain budget and pledge records; send out donation statements three times a year
Reconciliation:
reconcile church and preschool records; reconcile credit cards; reconcile bank accounts Liaison for all utility, HR, healthcare, and payroll-related companies; manages Board of Pensions account & submits any changes necessary Manage all bank and investment accounts; updates records of all debits and credits daily; sends acknowledgement letters for special donations such as stocks and
IRAs Property Management:
Manage and ensure the integrity of church property maintenance, repairs and renovations, including coordination of contractors and volunteers Maintain property inventory Ensure all church safety, property, facility and vehicle policies and procedures are followed
Experience, Ability and Skills:
Elite organizational skills with strong attention to detail Effective communication skills, both written and verbal Positive attitude, willingness to problem-solve, learn new things, and ability to step in whenever needed Confidence supervising administrative staff and supporting church volunteers Knowledge, and experience and ability to stay current with office technology and other office management tools, plus a willingness to learn new technology; proficiency in Google Workspace, calendar administration and church management systems preferred Competence prioritizing tasks and meeting strict deadlines Ability to manage multiple priorities Ability to maintain strict confidentiality Booking-keeping experience preferred This full-time exempt position reports to the Pastor/Head of Staff. Pay is commensurate with experience, $50k-60k. Hours will be worked on site, sometimes including hours outside regular business hours, in a casual environment.
