Job Description

Assistant Manager - Plumbing & Mechanical Office (Customer Service, Dispatch) We are seeking an organized, friendly Assistant Manager to support the office manager of a local plumbing and heating shop. This role is ideal for someone who enjoys working in a family-style business environment and wants to contribute to daily operations while developing leadership skills. The Assistant Manager will support customer service, manage dispatch functions, and assist with the ServiceTitan platform to keep our field teams running smoothly.
Key Responsibilities:
Assist the office manager with day-to-day administrative tasks and office workflow. Serve as a primary customer service contact: answer phone calls, respond to emails, and follow up on service requests with a professional, solution-oriented approach.
Manage dispatch responsibilities:
schedule technicians, prioritize emergency calls, and coordinate resources to ensure timely service delivery. Maintain and update job information in ServiceTitan, ensuring accurate customer records, job notes, and invoicing data. Support billing and quoting processes; prepare estimates and follow up with customers as needed. Troubleshoot scheduling conflicts and communicate updates to both customers and field staff. Train and mentor newer office staff to improve team performance and customer satisfaction.
Qualifications & Skills:
Previous experience in a service dispatch, customer service, or office support role within plumbing, HVAC, or a related trade is highly desirable. Familiarity with ServiceTitan or similar field service management software is helpful; on-the-job training provided. Strong communication, organizational, and multitasking abilities. A proactive, positive attitude with a focus on teamwork and problem solving in a family business culture.
