Job Description

Position Summary The Chief of Staff serves as a strategic partner and operational extension of the CEO, supporting organizational priorities, driving alignment across executive initiatives, and ensuring efficient execution of key projects. This role is responsible for enhancing the effectiveness of the CEO by managing workflows, facilitating communication, and coordinating high-priority initiatives across the organization. In addition to strategic and operational support, the Chief of Staff partners closely with the Executive Assistant (EA) team, which supports the Executive Leadership Team, to ensure alignment, consistency in administrative processes, and effective coordination of priorities and workflows. Key Responsibilities Executive Support & Strategic Alignment Serve as a trusted advisor to the CEO, helping to prioritize, track, and execute strategic initiatives. Support preparation for executive-level meetings, including agendas, briefing materials, and follow-up actions. Prepare and maintain presentations for the CEO, collaborate with communications and marketing teams, and confirm that talking points and presentation preparation are completed as necessary. Facilitate communication and coordination between the CEO and internal/external stakeholders. Foster and maintain professional relationships with key stakeholders. Monitor progress on organizational priorities and ensure alignment across departments. Lead or support special projects on behalf of the CEO, ensuring timely and effective execution. Coordinate with the organization's Corporate Secretary and Board of Directors as required. Ensuring board packets and other administrative communications and duties are accurate and timely. Operational Coordination Streamline processes that improve executive team efficiency and organizational effectiveness. Assist in managing organizational rhythms (e.g., leadership meetings, reporting cycles, strategic planning processes). Identify opportunities for improved communication, decision-making, and cross-functional collaboration. Executive Assistant Partnership and Coordination Partner with the Executive Assistant (EA) team supporting the Executive Leadership Team to promote alignment and consistency in executive support practices. Collaborate with EAs to coordinate schedules, priorities, and workload distribution in support of leadership needs. Work in coordination with EAs on travel planning, scheduling changes, and related administrative processes to ensure efficiency and clarity. Contribute to the development and continuous improvement of standards for executive support, fostering consistency and high-quality service. Serve as a collaborative resource to support problem-solving and alignment on EA-related needs and challenges. Qualifications Bachelor's degree in Business Administration, Healthcare Administration, or related field (Master's preferred). 5+ years of experience in a senior administrative, operations, or project management role; experience supporting executive leadership strongly preferred. Demonstrated ability to manage complex priorities, maintain confidentiality, and operate with discretion. Strong organizational, communication, and problem-solving skills. Proven ability to influence without direct authority and work effectively across teams.
