San Mateo County, California (Hybrid) 20-25 Hours per Week | Flexible Schedule $35-$50 per Hour DOE About AgeUp AgeUp is a rapidly growing nonprofit organization dedicated to helping older adults, caregivers, and people with disabilities age with dignity, purpose, and connection. Through Ombudsman Services, volunteer engagement, social connection programs, caregiver support, community education, elder justice advocacy, and innovative aging initiatives, AgeUp serves thousands of individuals throughout San Mateo County each year. As the organization continues to grow and expand its impact, AgeUp is seeking a dynamic, strategic, and highly organized Chief of Staff to partner directly with the CEO and leadership team. Position Summary The Chief of Staff serves as a trusted advisor and strategic partner to the CEO, helping translate organizational vision into action. This individual will oversee key initiatives, manage high-priority projects, support board and stakeholder engagement, improve organizational effectiveness, coordinate annual events, and ensure execution of strategic goals across the organization. Key ResponsibilitiesStrategic Planning & Organizational Leadership Partner with the CEO to advance organizational priorities, strategic initiatives, and growth opportunities. Track organizational goals, key performance indicators, and strategic objectives. Coordinate cross-functional projects and ensure accountability across teams. Conduct research and analysis to support organizational planning and decision-making. Identify opportunities for innovation, partnerships, and program expansion. Manage special projects and strategic initiatives as assigned by the CEO. Executive & Board Support Prepare reports, presentations, briefing materials, and executive communications. Coordinate board meetings, committee meetings, retreats, and strategic planning sessions. Assist with board governance activities and board communications. Help manage CEO priorities, schedules, and organizational initiatives. Represent the CEO in meetings and community forums as appropriate. Operations & Organizational Effectiveness Improve organizational systems, workflows, and internal processes. Coordinate implementation of policies, procedures, and organizational improvements. Monitor project timelines and ensure deliverables are completed on schedule. Support organizational planning, change management, and operational excellence. Assist with vendor management, contract administration, and organizational projects. Fundraising, Partnerships & Community Relations Support donor stewardship, sponsorship development, and cultivation activities in partnership with the CEO and Board of Directors. Assist with grant development, reporting, and funder communications. Strengthen relationships with community partners, government agencies, healthcare organizations, and other stakeholders. Support strategic partnership development and community engagement efforts. Annual Event Participate in planning and execution of AgeUp's annual fundraising event Partner with staff, board members, sponsors, and community partners to maximize attendance, engagement, and fundraising outcomes. Develop event timelines, budgets, marketing plans, and post-event evaluations. Ensure annual events align with AgeUp's mission, strategic priorities, and community impact goals. QualificationsRequired Bachelor's degree required. Minimum five years of professional experience in nonprofit management, operations, public administration, healthcare, project management, consulting, community engagement, or a related field. Exceptional written, verbal, and interpersonal communication skills. Strong project management and organizational abilities. Ability to manage multiple priorities and deadlines simultaneously. High level of professionalism, discretion, and judgment. Demonstrated ability to work independently and proactively. Proficiency with Microsoft Office, Google Workspace, and project management tools. Preferred Master's degree in a related field. Experience working with nonprofit boards of directors. Experience in aging services, healthcare, public policy, social services, philanthropy, or community-based organizations. Experience planning nonprofit fundraising events, galas, donor cultivation events, conferences, or community engagement activities. Experience with grants, fundraising, donor relations, or government contracts. Familiarity with California nonprofit operations and governance.
