Clients include high-net-worth individuals, businesses of all sizes, and repeat investors who often do multiple transactions in a year. The Role The Chief of Staff (Real Estate Operations) is a critical position within our firm, responsible for ensuring smooth daily operations and providing high-level support across our investment, development, and brokerage divisions. This is a real estate role . Experience in real estate is not just a plus — it's required . You will be the first point of contact for clients, investors, and vendors , requiring professionalism, excellent communication, and the ability to prioritize effectively. Key Responsibilities Administrative & Office Support Ensure smooth operation of the office and support executive needs bookkeeping, expense tracking, record-keeping, and P&L support & review Coordinate meetings with investors & clients Handle initial communication with investors & clients Handle day-to-day administrative tasks with accuracy and timeliness Draft/manage correspondence, manage incoming calls, emails, and mail Real Estate Asset Management & investment Support Manage transaction files from mutual acceptance to closing Assist in managing short term and long term rentals, show properties when needed Input listings and research on MLS Research zoning information Prepare LLC documents for new acquisitions Coordinate contractors, vendors, and photographers Oversee signage and key box installations Coordinate renovation and contractor schedules Organization & Systems Maintain transaction files, databases, schedules, and event planning Document, implement, and track company systems and processes Manage and maintain client/vendor CRM database Marketing & Events Plan and execute company events Manage marketing campaigns, mailers, and promotional items Track and organize client testimonials and reviews Required Qualifications Minimum 1 year of real estate industry experience (required) Strong problem-solving and multitasking skills Excellent organizational skills and attention to detail Professional, positive attitude and strong interpersonal skills Proficiency in Microsoft Office Suite (Excel required) Dependable, responsible, and able to thrive in a fast-paced setting Prior administrative/office experience (1+ year required, real estate specific)
