This position is responsible for ensuring the accurate and timely collection, analysis, and reporting of membership and program data to support recruitment, retention, organizational planning, and grant requirements. This role also manages assigned grants from federal, state, local, private, and foundation sources, ensuring compliance with program requirements, reporting deadlines, documentation standards, and organizational policies. The Manager serves as a resource for Club staff and internal stakeholders, providing training, technical assistance, and operational support for data systems and grant management.KEY RESPONSIBILITIES
Data Management & Reporting Lead database management processes to ensure accurate, timely, and effective tracking of membership and youth participation across all Club sites and programs. Train and support Club and Club Operations staff in database systems, including membership entry, attendance tracking, and report generation. Manage reporting on membership, attendance, demographics, and youth participation data on monthly, quarterly, annual, and ad hoc schedules. Develop templates, workflows, timelines, and instructional materials to support effective data collection and reporting practices. Provide consistent quantitative reporting and analysis for internal and external stakeholders. Ensure data practices support grant-specific requirements and organization-wide goals. Lead the Club Leadership Team through the BGCA Annual Report process, including data quality assurance, data collection, reporting, and submission. Grant Management & Compliance Ensure compliance with BGCA pass-through grant requirements along with government, public, private, and foundation grant requirements, including stated objectives, allowable costs, reporting deadlines, and program deliverables. Manage ongoing monitoring, review, and reporting for active grants. Provide guidance, technical assistance, and training to staff on grant requirements, policies, procedures, and compliance expectations. Ensure that current grant management policies, procedures, tools, and training are implemented consistently across Club operations. Facilitate group and individual meetings to support successful grant compliance and program implementation. Maintain organized digital and paper records for grant outcomes, reporting, contracts, partnerships, and compliance documentation. Conduct internal audits and monitoring to assess grant compliance. Serve as the compliance monitor for food program grants, including required training, monthly site visits, and documentation audits. Partner with the Advancement Team to support grant acquisition, proposal development, and procurement. Serve as the primary point of contact for internal and external stakeholders regarding government and pass-through grants. Support grant writing and proposal submissions for government, pass-through, private, and foundation funding opportunities. Identify and implement strategies to strengthen and streamline grant administration. Club & Organizational Support Maintain a strong working knowledge of Club operations and youth development programs. Provide operational support to Club staff and sites as needed. Complete special projects and assignments for the Vice President of Club Operations and the Executive Team. Other duties as assigned. Bachelor's degree required or an equivalent combination of education and experience. Minimum of 3-4 years of professional experience in database management, grant management, program administration, nonprofit operations, or related fields. Effective in using quantitative data to help inform trends. Knowledge of grant application, compliance, and reporting processes. Skilled in public speaking and training with comfort addressing groups and individuals with enthusiasm. Strong project management and organizational skills, with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills, including editing and presentation skills. Strong interpersonal and customer service skills, with the ability to collaborate effectively across teams. High attention to detail, strong problem-solving skills, and sound judgment. Experience handling confidential information with a high degree of integrity and discretion. Experience in youth services or nonprofit organizations preferred. Familiarity with Chicago communities and experience working with diverse populations preferred. Advanced proficiency with the Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Ability to work independently in a fast-paced environment while maintaining high standards of work quality.ENVIRONMENTAL CONDITIONS
Work is performed at the Club Support Center and at various Club locations across Chicago. Must have reliable transportation Successful completion of a criminal background check, including Livescan fingerprinting.PHYSICAL REQUIREMENTS / WORK ENVIRONMENT
This position operates in both a standard office environment and Club settings throughout Chicago. Regular local travel between the Club sites and the Club Support Center is required. Ability to occasionally lift and carry up to 25 pounds.DISCLAIMER
