We are currently seeking a Grant Administrator! The primary responsibility of the Grant Administrator is to oversee the full lifecycle of grant management, including identifying funding opportunities, developing grant proposals, and managing both pre-award and post-award processes. The Grant Administrator will work closely with the Grants and Contracts Manager and various departments to gather information, articulate project goals and objectives, and create compelling proposals to secure funding while ensuring ongoing compliance, reporting, and financial tracking of awarded grants. This position provides direct support to the Grants and Contracts Manager, who maintains primary oversight of grant strategy, funder relationships, and final approval of submissions and awards.
Essential Functions:
Research potential funding sources, grants, and partnerships from local, foundation, private, state, and federal funders. Stay current on grant guidelines, eligibility criteria, grant webinars, and deadlines. Submit questions and responses (Q&A) in a timely manner to support the assessment of whether funding opportunities align with the organization's mission, goals, and strategic priorities. Utilize AI and other tools to improve efficiency in grant development and tracking. Support the identification and development of state and federal grant opportunities in coordination with the Grants and Contracts Manager. Collaborate with Grants and Contracts Manager and other program directors (when needed) to understand project goals and funding needs. Develop clear, concise, compelling grant proposals and applications including detailed budget summaries and scope of work. Ensure proposals align with the organization's mission, objectives, and strategic priorities. Draft and support development of grant applications, including state and federal awards, under direction of the Grants and Contracts Manager. Assist in compiling required attachments, budgets, and supporting documentation for submission. Support post-award grant management activities under the direction of the Grants and Contracts Manager. Manage post-award grant activities including implementation tracking, compliance, and reporting requirements. Prepare and support RFR processes and supporting documentation for review and approval. Assist with grant-related financial tracking, reconciliation, and budget monitoring in coordination with finance staff and the Grants and Contracts Manager. Support compliance with OMB Uniform Guidance and other applicable regulations. Maintain systems developed for tracking deliverables, expenditures, and reporting deadlines. Support relationship management with state funders, foundations, private funders, and community partners. Communicate effectively with funders to clarify information and address inquiries. Coordinate communications with funders as directed by the Grants and Contracts Manager. Maintain detailed grant records in organized physical and digital systems. Devise mechanisms for grant reporting (monthly, quarterly, annually) and work closely with Grants and Contracts Manager to ensure deadlines are met. Actively support project implementation oversight to ensure grant requirements are being met. This position frequently interacts with all Quest personnel and board members. Quest Counseling provides services to clients from differing demographics and all ages. This position requires communication with external stakeholders including state agencies, foundations, private funders, and community partners
Qualifications:
Bachelor's degree in a related field required. Experience in grant writing and administration required.
Preferred:
Experience with financial grant reporting, tracking, and reconciliation.
Preferred:
Familiarity with OMB Uniform Guidance compliance . Experience managing both pre-award and post-award grant processes strongly preferred. Ability to work under direction and manage multiple deadlines. Strong research, analytical skills, literacy, and excellent communication skills. Familiarity with the nonprofit sector and fundraising strategies. Detail-oriented with strong organizational abilities. Varied computer knowledge with excel, Microsoft SharePoint, experience using AI and AI applications, etc. Physical Demands The overall nature of the position is sedentary, requiring little physical effort and occasional light exertion. There is minimal exposure to environmental conditions such as heat, cold, and temperature changes. This is a 100% in-person position. Regular on-site attendance is required to support cross-functional collaboration, document management, and coordination with internal teams.
