Professional Job Description:
The Program Manager provides administrative and financial support to all multi-institutional, interdisciplinary, or strategic research programs in the Biomedical area managed by the Office of Research & Economic Development. This position will assist with all financial accounting, grant reporting and compliance with funding agencies for assigned faculty, programs, and projects, and provide operational support as required.
Job Responsibilities:
Portfolio Management:
Work directly with Associate Director of Research Operations and assigned Principal Investigators to provide assistance with routine business functions to ensure payroll, procurement, accounts receivable/payable, travel, events, and collaborator expenses are processed and allocated to correct program budgets. Assists with preparation of all internal budgets for the PI's portfolio (i.e., operating, discretionary, affiliation, grants, foundation, agency, etc.), reconciles, and monitors spending to ensure adherence to budget. Executes budget/spending adjustments and correcting accounting as deemed necessary. (50%)•
Post-Award Research Proposal Support:
Works with Office of Sponsored Programs and Sponsored Programs Accounting to make necessary changes and resolve any issues. Liaises with Associate Director of Research Operations, Office of Sponsored Programs and Sponsored Programs Accounting to review and monitor on-going financial performance and adherence to annual budgets and ensure post-award follow-up items are addressed and submitted timely. Tracks effort on funded awards to ensure it is met and documented within the period of performance specified. Assists Principal Investigators with all funding agencies by ensuring that required information is maintained and reported on a regular basis (e.g. RPPR, annual reports, etc.). Interfaces with ORED Research Development and prepares electronic submissions as needed for no-cost extensions, supplemental funding, and modifications. Reviews all assigned, pending and proposed grants and contracts to ensure grants are budgeted, reconciled, and projected appropriately to ensure PI has sufficient effort to allocate to pending and proposed projects. Collaboration Management:
This position collaborates across the organization with faculty, staff, and students on behalf of the PI to ensure successful program implementation. This includes organizing research meetings and events, ensuring all collaborators have necessary information for their role in the project, managing group communications, tracking projects to ensure tasks are accomplished, progress reporting, and ensuring that potential risks to the program are identified, brought to the attention of the Associate Director of Research Program Operations and other applicable departments/units for prompt mitigation. (10%) Other duties as assigned. (5%)
Minimum Qualifications:
Bachelor's degree and 3 years of experience. Some experience must involve leading multiple initiatives or projects simultaneously and managing grants from biomedical or health related funding agencies (NIH, LA Dept. of Health, private industry, etc.)
