Administrative Services Assistant Location:
710 James Robertson Parkway 7th Floor Andrew Johnson Tower, Nashville, Tennessee 37243 (Hybrid)
Job Overview:
Under supervision, the Administrative Assistant 3 position provides administrative and fiscal support for HRP-funded Maternal and Child Health grants within the Rural Health Transformation Program. This position supports day-to-day administrative operations related to grant management, including invoice processing, documentation, and tracking of grant expenditures, to ensure compliance with state and federal requirements.
Distinguishing Features:
This position provides lead-level administrative and fiscal support for a complex, multi-grant portfolio and supervises lower-level administrative staff.
Key Responsibilities:
  • Assist with invoice processing and tracking of grant expenditures.
  • Maintain organized grant files and supporting documentation.
  • Support reconciliation, data entry, and reporting activities.
  • Assist with scheduling, correspondence, and administrative coordination.
  • Support compliance with federal and state grant requirements.
Minimum Requirements:
Graduation from an accredited college or university with an associate''''s or bachelor s degree is required. At least one year of experience providing administrative or fiscal support for grant-funded programs. Supervisory experience preferred.
Work Environment:
In-Office Requirements:
1. New hires will be required to come in for the first day of employment for laptop deployment and onboarding in Nashville, and at least monthly, or as requested by hiring manager. 2. Travel to the Nashville office will not be reimbursed.
Typical working hours:
Monday-Friday, 8AM to 4:30PM, 37.5 hours per week
