Job Description

Position Summary The Receiving / Inventory Specialist is responsible for executing accurate and timely receiving, inventory control, and material handling processes to maintain inventory integrity across the facility. This role ensures inbound materials are properly recorded in NetSuite ERP, supports real-time inventory visibility, and maintains compliance with company, food safety, and regulatory standards. This position partners closely with Procurement, Production, and Quality teams to ensure materials are received, stored, tracked, and issued in alignment with operational needs and traceability requirements. Key Responsibilities Receiving & System Transactions Receive incoming materials (cartons, bottles, caps, labels, packaging, ingredients, supplies, and chemicals) and accurately record receipts in NetSuite ERP Verify quantities, lot codes, and condition of goods against purchase orders and packing slips Identify, document, and communicate discrepancies, shortages, or damages to Procurement Process returns, rejections, or corrective actions in coordination with suppliers and Procurement Inventory Control & Accuracy Maintain accurate, real-time inventory records in NetSuite Perform routine cycle counts (daily/weekly/monthly) and assist with full physical inventory counts Investigate and reconcile inventory variances Maintain inventory logs by SKU, lot number, and storage location (including trailers and external storage) Ensure proper material rotation using
FIFO/FEFO
principles Material Handling & Organization Ensure all materials are labeled and stored in designated locations Maintain organization of warehouse, packaging areas, and storage trailers Track and maintain accurate inventory of materials stored in trailers and offsite locations Ensure timely movement of materials to support production schedules Traceability, Compliance & Food Safety Ensure all inventory transactions support full traceability (lot tracking, supplier documentation, etc.) Follow all SQF, GMP, Organic, and Non-GMO standards Prevent cross-contamination through proper segregation and handling practices Maintain required logs and documentation for audits (SQF, regulatory, customer audits) Ensure safe handling and disposal of chemicals and materials Communication & Cross-Functional Support Communicate low stock levels and potential shortages proactively to Procurement and Production Collaborate with Procurement on inventory planning, usage trends, and reorder timing Support Purchasing with inventory verification and reporting Coordinate with Production and Plant Management on material availability and priorities Reporting & Continuous Improvement Assist in generating inventory reports from NetSuite Support process improvements in receiving, inventory tracking, and warehouse organization Identify opportunities to improve accuracy, efficiency, and traceability Qualifications Education & Experience High School Diploma or GED required Minimum 1-3 years of experience in warehouse, receiving, or inventory control preferred Technical Skills Experience with ERP systems required (NetSuite strongly preferred) Proficient in Microsoft Outlook and basic computer systems Experience with barcode scanning and inventory tracking systems preferred Core Competencies Strong attention to detail and accuracy Ability to work independently and prioritize tasks in a fast-paced environment Effective communication across departments Problem-solving and discrepancy resolution skills Certifications Forklift Certification required (or ability to obtain) Physical & Work Environment Ability to lift up to 50 lbs Frequent standing, walking, and material handling Exposure to varying temperatures, warehouse conditions, and outdoor environments Work around food production areas and chemicals in accordance with safety guidelines Additional Expectations Maintain a safe, organized, and audit-ready work environment at all times Follow all company policies, safety standards, and sanitation requirements Perform additional duties as assigned by management
